Description MaineHealth Corporate Management/Leadership Req #: 45950 The Manager - Medical Education Operations serves as the strategic and operational leader for the business, communications, budgeting, and project management functions of the Simulation Center. This role supports cross-functional collaboration across simulation operations, clinical education, and system partners. The manager works closely with Simulation leadership, operations staff, clinical educators, internal and external partners to support daily operations, coordinate planning efforts, and streamline administrative and project workflows. The ideal candidate is detail-oriented, proactive, and comfortable managing diverse tasks from high-level planning to hands-on coordination. They must bring a strong background in operations, project management, budgeting, and team coordination in a complex healthcare or education setting. Summary: Under general direction of a Medical Education Director, and the Operations Manager has primary responsibility for the management and oversight of resources, programming, staff and budget for assigned areas within the Department of Medical Education. This individual is responsible for effectively collaborating with other leadership, including other Operation Manger(s) to operationalize department development plans as they relate to both organization and department Mission and Vision. This individual is expected to partner with other Operations Manager(s), jointly providing leadership and ensuring integration and alignment of assigned programs. The Operations Manager reports to an Administrative Director in Medical Education and works closely with clinical, academic and administrative leadership to ensure resources, processes and programming support best practices in healthcare and deliver technical and content expertise for patient care, education and research. Required Minimum Knowledge, Skills, and Abilities (KSAs): * Education: Bachelor's degree required; minimum of 5 years progressive responsibility in managerial or project management work, preferably in education or health care administration. * Knowledge of medical education or simulation technology/theory preferred. * Experience with high-level managerial and organizational duties, employee supervision, support and development preferred. * Experience in developing and managing budgets. * Experience performing at a high level of independence, with strong analytic and problem solving skills, and ability to facilitate resolution of issues. Strong project management skills desired (PMP certification a plus). * Experience working collaboratively as a member of a team. * Proficiency in Microsoft Word, Excel, PowerPoint and web-based applications. Key Responsibilities: * Support a culture of continuous improvement by leading change efforts that respect team dynamics and encourage buy-in across varying comfort levels with change. * Facilitate and manage agendas and operations across recurring meetings. * Oversee simulation department and program budgets including planning, tracking, approvals, reporting, ordering, and grant tracking. * Draft and manage communications ranging from internal team communications to annual center activity reports and analytics. * Lead special projects including process improvements, system changes, accreditation applications, and offsite planning. * Support Clinical Education team with operations including event logistics and Smartsheet workflows. * Spearhead SOP development, file organization, and system initiatives. * Drive adoption and management of systems like Smartsheet, Microsoft Teams, and other project tracking tools. * Manage file standardization across simulation documents and event records.
