Administrative Assistant


Combined Courts Administration


Hourly Pay Rate: $19.88 $29.83

Job Summary: Provide high-level administrative support to management including Court Coordinators, Court Commissioners and/or Judiciary, by handling duties associated with department-wide administrative and programmatic support activities. Providing crucial front-line customer service in person and by phone, interpret and explain court procedures, practices, and policies as required. This is a high-level professional position that requires a high-level of confidential administrative support.


Essential Duties and Responsibilities:



  • Schedule interpreters and video conferences to ensure appropriate action taken, troubleshoot and resolve issues with stakeholders, ensure reports are submitted, act as contact for case specific issues.
  • Receptionist in a secured (or specialized) area for Program/Division Manager, Judiciary, Legal Counsel, Specialized Court Coordinators which includes answering the door, stakeholder and public questions related to various areas
  • Filing, general office organization, maintains policy and procedure manuals, schedules meetings and maintains a master calendar, prepares reports as needed
  • Appointment of counsel, case management to ensure appropriate action taken within statutory time, troubleshoot and resolve issues with stakeholders, ensure court reports are submitted, act as contact for case specific issues for partners
  • Act as back-up for coordinator(s). Manage data entry for grant reporting,
  • Other duties as assigned.


Minimum Education and Experience Required:



  • High School Diploma or G.E.D equivalent
  • Current resident of the State of Wisconsin
  • Two (2) or more years of administrative/clerical experience preferably in a legal and/or court setting.
  • Intermediate knowledge of all related computer and software applications, such as word processing and spreadsheets.



Knowledge, Skills, and Abilities: Knowledge of legal documents and their purpose with strong organizational skills. Intermediate knowledge and skilled in the use of personal computers and the ability to enter and retrieve information. Perform word processing duties, including the generation of correspondences, legal documents, data entry, and reports. Sound analytical skills and detail orientated with strong problem-solving skills to quickly access and determine client-based issues. Able to work independently with minimal supervision.
