Role and Responsibilities

General Administration



  • Compose, type, and transmit routine correspondence.
  • Prepare outgoing mail, make copies, and maintain office records.
  • Order and maintain log of company apparel orders.
  • Assist Technical Trainer with the completion of project / sales order training manuals


Customer & Vendor Liaison



  • Greet scheduled visitors and escort them to the appropriate area or person.
  • Coordinate and arrange meetings, including preparing agendas and reserving facilities.
  • Provide administrative support to ensure positive interactions with customers and vendors.


Project & Bid Support



  • Assist Project Managers, Engineers, Trainers, and Bid Coordinators.
  • Schedule and coordinate project kick-off meetings.
  • Compile manuals, scan test reports, and prepare documentation for submittals, warranties, and project close-out.


Human Resources/Employee Support



  • Coordinate and manage new hire onboarding
  • Ensure employees complete benefit enrollment within 30 days and respond to general benefit inquiries.
  • Schedule and coordinate the Annual Wellness Screening.
  • Ensure completion of annual compliance training for shop employees, including IT security resets as needed.
  • Coordinate and track self-evaluations for annual performance reviews.


General Manager Support



  • Arrange official travel through Concur Travel system.
  • File and maintain expense reports.
  • Provide insight on employee relations issues.
  • Coordinate and execute all company functions.


Work with purchasing department on keeping stock of TPG supplies.

Other Duties



  • Perform additional responsibilities as assigned to support the department and company needs.


Qualifications: Required



  • High School Diploma, or equivalent
  • Minimum of 2 years' related experience in Business Administration, or equivalent education, Exposure to Employee Relations Issues/HR Support.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)


Qualifications: Preferred



  • Two years or greater in a front desk coordination role

  • Superior interpersonal, communication, problem-solving and organizational skills
  • Ability to prioritize & multi-task
  • Ability and willingness to work in a team environment
  • Capable of working without supervision, self-starter



General Physical Demands & Safety Awareness:



  • Balfour Beatty - Total Power Group is committed to excellent Environmental, Health & Safety (EH&S) performance as an integral part of its service and business activities. Employees should have experience with, use appropriately and encourage others to use Personal Protection Equipment (PPE) in the appropriate areas of our operation.
  • For general manufacturing & warehousing areas with MEDIUM duty, employees should be able to exert or lift up to 50 lbs. of force occasionally and up to 10 lbs. of force frequently. Walking, bending, standing and sitting foreseen frequently.


For general office areas with LIGHT duty, employees should be able to exert or lift up to 25 lbs. of force occasionally and up to 5 lbs. of force frequently. Both standing and sitting foreseen frequently
