Job Title: Administrative Assistant, LatAm

Location: New York, NY

Overview

Administrative Assistant for the Latin America Coverage Group within Origination & Advisory. This role will support the Group Head and other Managing Directors while sustaining a strong collaboration with coverage partners across all the regional offices. To be successful in this role, you must be highly motivated, goal-oriented, and capable of proactively taking initiative. This role will be onsite 5 days a week.

What You'll Do

  • Coordinating international/domestic travel and hotel arrangements, including creation of extensive trip itineraries and expense reimbursement requests; coordinating arrangements for meetings, including scheduling, reserving conference rooms and catering; preparing and processing travel and entertainment expenses promptly and accurately; organizing client & team events; process and track invoices for payment and follow up as appropriate
  • Assisting in onboarding & offboarding process including desk coordination, floor access, ID creation, etc
  • Providing support to the Group Head and Business Manager with group presentations via PowerPoint and Excel; liaising with high-profile individuals daily; providing timely and accurate follow-up to projects assigned
  • Arranging coverage when away from desk or office
  • Developing a thorough understanding of the O&A policies & guidelines

Skills You'll Need

  • College degree is required
  • Must be bilingual in English & Spanish, and possess strong written and oral communication skills
  • Ability to work effectively to meet time-sensitive deadlines
  • Highly motivated and willing to take on ad-hoc work as needed
  • Proficient with Microsoft Word, Excel, and PowerPoint

  • Demonstrated team player with excellent organizational skills and ability to anticipate needs
  • Excellent verbal, written and interpersonal skills with the ability to interact with clients, officers, and peers in a professional manner, handle assignments with a high level of confidentiality and discretion
  • Good organizational skills and the ability to prioritize workflow by demonstrating flexibility in a demanding, fast-paced environment
  • Detail oriented and able to prioritize, multi-task and negotiate conflicting deadlines
  • Must possess strong problem-solving skills - be proactive, resourceful, flexible, and creative

Expectations

It is the Bank's expectation that employees hired into this role will work in the New York, NY office in accordance with the Bank's hybrid working model.

The salary range for this position in New York City is $60K to $95K. Actual salaries may be based on a number of factors including, but not limited to, a candidate's skill set, experience, education, work location and other qualifications. Posted salary ranges do not include incentive compensation or any other type of remuneration.
