Position Summary

The Practice Improvement and Consulting Department (PIC) is central to the National Council's goal of providing timely and meaningful technical assistance and consulting to community mental health and substance use services organizations and other key stakeholders. As directed by the Director, PIC, the Project Coordinator supports the Practice Improvement and Consulting (PIC) Department through logistical and administrative support of complex projects to achieve strategic goals. This position requires an individual who is collaborative, proactive, and efficient while working with internal and external audiences.

This position is contingent upon continued project funding.This is an individual contributor role without any direct reports. While this position can be done remotely from anywhere in the U.S., you may occasionally travel to our Washington, D.C. office and must primarily accommodate our core business hours of 8:30 a.m. to 5:00 p.m. Eastern Time.

Key Responsibilities

Project Coordination



  • Support the development and monitoring of project outlines and work plans, employing strong organizational skills to support monitoring and reporting on the project's budget and financial health. This potentially includes assisting with monthly budget tracking processes.
  • Anticipate project support needs, potential roadblocks, and collaborate with team members to complete tasks.
  • Support development of tools/templates/systems to support project goals in collaboration with other project staff.


Technical Assistance



  • Coordinate logistics for in-person and virtual meetings, including scheduling, participant communication and event tracking.
  • Assist with the preparation of materials to support technical assistance efforts, including meeting agendas, notes, deliverables, presentations and training materials.
  • Facilitate live and virtual events as needed.


Stakeholder Engagement



  • Proactively communicate and liaise with subject matter experts, funders, consultants, project participants, other project stakeholders and staff in other National Council departments.
  • Respond to inquiries related to products, projects, and consultations, as well as member requests for information on training and technical assistance, demonstrating strong research and technical writing skills.
  • Use problem solving skills and project knowledge to communicate and respond appropriately to questions and concerns from external partners.


Financial Management



  • Assist with tracking and monitoring project budgets and financial performance.
  • Complete administrative tasks such as invoice and procurement processing in collaboration with the Finance and Contracts departments.


Quality Monitoring & Improvement



  • Support project data and evaluation activities by gathering, visualizing and tracking data.
  • Contribute to regular reporting, including progress reports, financial reports, and evaluation reports.


Organizational Activities - Participate in other National Council activities



  • Travel on behalf of the National Council as needed.
  • Carry out other duties as assigned.


Required Qualifications



  • At least 1-3 years of experience in customer service, administrative support, and/or project coordination; experience in mental health and substance use services or public health settings is preferred
  • Experience supporting data collection, analysis, and reporting processes, including tracking metrics and synthesizing findings for internal and external audiences is preferred
  • Strength in Microsoft Office and Office365, in particular MS Word, Excel, Outlook, and PowerPoint
  • Proficiency in virtual meeting/collaboration software (e.g., Zoom, Teams, etc.)
  • Strong attention to detail with particular emphasis on financial tracking and invoicing, and data submission and deliverable tracking
  • Proactive in coordinating tasks, schedules and projects
  • Ability to self-manage and work independently on certain tasks while contributing to a team project structure and proactively seeking assistance where needed
  • Ability to work with team to identify and implement processes and workflows
  • Ability to remain flexible, manage multiple priorities and meet deadlines in a fast-paced environment
  • Exceptional written, oral, and interpersonal skills
  • Ability to quickly learn new software platforms and programs
  • Ability to travel up to 10%


Preferred Qualifications



  • Bachelor's degree or equivalent additional years of professional experience in public health, social work, health care administration, mental health and substance use services or related fields is desirable
  • Experience in grant and proposal support is a plus
  • Experience with budget management and tracking


Salary & Benefits

The salary range for this position is $57,475 to $74,354. Salary decisions within the range are based on experience, education and internal equity.
