Job Summary
Bethel University seeks a highly organized and proactive Senior Administrative Assistant to support the Dean of the College of Business and the Dean of the College of Arts, Science & Education.

This pivotal role provides senior-level administrative support, ensuring smooth coordination, clear communication, and excellent service across two academic colleges.

The successful candidate will demonstrate professionalism, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced academic environment. This position reports jointly to both Deans, with a dotted-line relationship to the Executive Administrative Assistant in the Office of the Provost.

The starting salary range for this role is $45,000 to $55,000 annually, based on experience.

Work Environment
  • Full-time, 12-month position located on Bethel's Arden Hills, MN campus.
  • Occasional evening or weekend work to support special events.

Responsibilities

Executive and Administrative Support
  • Manage complex calendars for both Deans, including meetings, events, and travel arrangements.
  • Serve as a key point of contact for faculty, staff, students, and external partners.
  • Draft, edit, and prepare professional correspondence, reports, presentations, and meeting materials.
  • Coordinate meetings and committee work: prepare agendas, gather background materials, record and distribute minutes, and track follow-up actions.
  • Handle sensitive and confidential information with integrity and discretion.
  • Maintain organized systems for electronic and physical files, ensuring compliance with university policies and procedures.

Budget, Purchasing, and Operational Support
  • Support the preparation, tracking, and reconciliation of budgets for both colleges.
  • Process invoices, reimbursements, and purchase orders accurately and in a timely manner.
  • Partner with internal departments such as Finance, Human Resources, and Facilities to ensure operational needs are met.

Event and Project Coordination
  • Assist with the planning and execution of college events which may include meetings, donor events, and academic celebrations.
  • Coordinate logistics such as space reservations, catering, A/V setup, and communications.
  • Support special projects and initiatives led by the Deans, including data collection, research, or report preparation.
  • Serve as a liaison between the two colleges, fostering collaboration and alignment across academic programs and administrative processes.

Collaboration and Institutional Engagement
  • Partner closely with the Executive Administrative Assistant to ensure consistency in administrative processes.
  • Build positive working relationships with faculty, staff, and students across the university.
  • Demonstrate a service-oriented mindset that reflects Bethel's Christ-centered mission and values.
  • Mentor, train, and coordinate with administrative support staff or student assistants as assigned



Required Skills

Required
  • Demonstrated ability to anticipate needs and take initiative to improve processes.
  • Proven ability to manage multiple calendars and complex scheduling.
  • Strong written and verbal communication skills with attention to tone and professionalism.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • High level of discretion and confidentiality in handling sensitive information.
  • Proficiency with Microsoft Office Suite and familiarity with virtual meeting platforms (e.g., Zoom, Teams).
  • Ability to handle competing priorities with efficiency and composure.
  • Demonstrated flexibility, professional demeanor, and service orientation.

Preferred
  • Experience supporting academic leaders or senior administrators.
  • Knowledge of university systems and processes, including budgeting, procurement, and faculty affairs.
  • Experience with data management systems or enterprise software (e.g., Banner or similar).

  • 3+ years of administrative support

Required Education:
  • High School Diploma or Equivalent.

Travel: This position requires no travel.

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as desktop and/or laptop computers, photocopiers and smartphones.

Expected Hours of Work:

Typically, days and hours of work are Monday through Friday, with the expectation to work specific schedules and hours as identified and communicated by management. Occasional evening and weekend work may be required as job duties demand. This is a 40 hour per week, 12 months per year position.
