VITA (Volunteer Income Tax Assistance) Site Coordinator is responsible for managing the day-to-day operations of a free tax preparation clinic, which serves low-to-moderate-income individuals. This position involves a mix of administrative duties, volunteer supervision, and ensuring strict adherence to IRS and program-specific guidelines.

Duties and responsibilities

Volunteer management

* Recruit, train, and manage a team of volunteer tax preparers, greeters, and quality reviewers.

* Create and manage volunteer schedules to ensure adequate site coverage and availability.

* Provide ongoing support and guidance to volunteers on tax law, software procedures, and site processes.

* Motivate and lead volunteers, fostering a positive and collaborative environment.

Site operations and compliance

* Establish and oversee all daily operations of the tax preparation site with required resources.

* Enforce IRS Quality Site Requirements, with a focus on protecting taxpayer information and maintaining confidentiality.

* Ensure that quality reviews of completed tax returns are completed to ensure accuracy before they are filed.

* Transmit electronic tax returns on time and resolve rejected returns.

Client services

* Provide excellent customer service to clients and manage client flow.

* Address any client tax-related questions or issues that cannot be handled by a volunteer tax preparer.

* Set clear expectations for clients regarding the tax preparation process and timelines.

* Ensure clients are screened for eligibility and have all the required documents before their tax return is prepared.

Program administration and reporting

* Complete the required IRS Site Coordinator Training and certify at the Advanced level for tax law.

* Submit required data and statistical reports on time.

* Help promote the VITA program through outreach efforts.

* Gather and maintain all volunteer information as required by the IRS and partner organizations.

Qualifications and skills

* Commitment to the mission: A dedication to serving low-to-moderate-income communities and ensuring they have access to financial resources.

* Strong leadership and management skills: Proven ability to manage a team of volunteers and oversee daily operations.

* Excellent communication: The ability to communicate clearly and efficiently with a diverse group of clients, volunteers, and partners.

* Highly organized and detail-oriented: Meticulous attention to detail to ensure accuracy, compliance, and timely reporting.

* Problem-solving abilities: The capacity to think strategically and address issues that arise during the tax season.

* Proficiency in tax software: Familiarity with tax preparation software used by the VITA program (e.g., TaxSlayer).

* Tax knowledge: Previous experience with tax preparation and completion of the Advanced IRS certification is required. Previous VITA Site Coordinator experience is preferred.
