Job Description

Elwyn seeks an Events Manager to provide support for all Elwyn fundraising and stewardship events, including Elwyn's annual gala fundraiser, the Elwyn Ball, and events for its upcoming Capital Campaign. This role is an administrative support position, and reports to the Director of Special Events.

PRIMARY RESPONSIBILITIES:

  • Provide critical administrative support to all aspects of the Elwyn Ball, Elwyn Day, Ski-A-Thon, cultivation, stewardship and capital campaign events.
  • Assist with on-site event execution, including setup and breakdown, managing registration, coordinating volunteers, and supporting donor needs.
  • Utilize the DonorPerfect CRM to manage event attendee data, including processing registration, updating participant information, and generating reports for tracking and analysis.
  • Coordinate the contract process for event vendors, including submitting detailed requests through Elwyn's internal systems, navigating approvals, proactively following up with Finance and other departments, and ensuring vendors are paid accurately and on time.
  • Help secure in-kind donations for signature events and process donations to ensure donors receive proper acknowledgement.
  • Assist in building and maintaining peer-to-peer fundraising websites using Qgiv for events such as Elwyn Day and the Ski-A-Thon, including page setup, content updates, and donor tracking.
  • Work in coordination with the Director of Special Events and Development colleagues to coordinate donor stewardship efforts, including but not limited to mailings, gifts, and sponsorship benefits.
  • Communicate with all events staffing to troubleshoot technical issues as needed.
  • Communicate with staff members on donor activities and communications, as needed.
  • Other duties as assigned.

QUALIFICATIONS:

  • BA/BS degree in a related field preferred 1-3 years experience in nonprofit work and/or event planning.
  • Must be able to work evenings and weekends, as needed.
  • Experience with CRM databases and fundraising platforms preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational skills.
