General Purpose of the Job

We are seeking a highly organized and experienced Senior Meeting & Event Planner to join our team. The ideal candidate will bring strong project management expertise, advanced event planning skills, and the ability to independently lead significant portions of large-scale corporate events. This role requires taking on elevated ownership of complex event logistics and strategic initiatives. This position sits on the internal meetings & events team and will report to a Meetings & Events Manager.

Essential Duties & Responsibilities

  • Serve as a key contributor to planning and executing DaVita's signature internal meetings and events, ensuring successful delivery and high-quality attendee experiences.
  • Independently own projects from conception to completion, including planning, budgeting, execution, and post-event wrap-up.
  • Collaborate with DaVita senior leaders to bring event concepts to life, aligning with business objectives and goals.
  • High degree of cross-collaboration and attention to detail required for all responsibilities.

Responsibilities include but are not limited to:

  • Manage RFP process and contract negotiations for destination management companies, production companies, transportation companies, and other miscellaneous vendors
  • Build & manage on-line registration sites and communications in Cvent
  • Manage event logistics including but not limited to: rooming lists, F&B, BEOs, AV, schedules, presenters, transportation, event material shipping, etc.
  • Initiate development of project plan(s) for individual areas of ownership with minimal oversight
  • Effectively interface with a diverse group of internal and external personnel including senior management, stakeholders, etc.
  • Provide onsite leadership for assigned event components, ensuring service excellence and a seamless attendee experience.
  • Assist with budget tracking, invoice processing, and reconciliation of event expenses.
  • Anticipate challenges and propose solutions proactively
  • Develop service recovery plans for events and ensure improvement goals are achieved or exceeded
  • Collaborate with manager to align event execution with strategic goals.
  • Other Duties as Assigned

Education and Requirements

  • Must live in the Denver, CO area, hybrid work environment.
  • Bachelor's degree preferred.
  • Minimum of (3) to (4) years of event planning/coordination experience required, with experience managing multiple, large-scale events.
  • Experience with registration software required; Cvent experience strongly preferred.
  • Proven ability to independently lead event workstreams from planning through reconciliation.
  • Strong vendor management and contract negotiation experience.
  • Ability to perform in a fast-paced, continuously evolving environment and collaborate in a team setting.
  • Exceptional attention to detail, organization, and communication skills.
  • Proficiency in MS Office suite including Word, Excel, PowerPoint, Outlook, and Teams.

Certificates, Licenses, and Registrations

  • Certified Meeting Professional (CMP) Accreditation a plus, but not required.

Travel and Time Requirements

  • Travel required, approximately 10%.
  • Weekend work may be required when onsite at events

Language Skills: Fluent in the written and verbal skills necessary to successfully perform the essential functions, duties, and responsibilities of the position.

Work Environment: Level III - Moderate noise (e.g., business office with computers or printers, light traffic). Visual: Vision adequate to perform the essential duties/responsibilities of position.

May be required to demonstrate the ability to differentiate colors on a test strip.

Physical Demands: Physical requirements can vary. These must be reviewed with management. However, in general, the position requires the following activities:

  • Ability to lift minimum of 40 lbs unassisted and able to stand, sit, stoop, walk, stretch, reach, and use full range of body motions.
  • Ability to be on feet and moving consistently while onsite at events
  • Manual dexterity as required for specific equipment and ability to use computer keyboard and peripherals.

The Salary Range for the role is $62,000.00-$91,000.00 per year.
