Position Summary

Odyssey Systems has an exciting opportunity providing Advisory and Assistance Services as a Space Systems Command (SSC) Space Data Branch Administrator supporting the US Space Force, Space Systems Command, Global Mission Data Dominance (GMDD) branch (USSF SSC SYD 85/BNN).

The GMDD branch executes activities in support of the alignment of key space data initiatives. The GMDD data portfolio includes critical data federation, networking and transport development activities with significant commercial, Department of War, Intelligence Community and International user data onboarding objectives.

The mission includes the execution of system acquisition, modernization, and sustainment activities across evolving data architectures, supporting communication systems, sensors, networks, and data systems.

The work is foundational to Protecting and Defending US Space Systems that provide space-based Intelligence, Early Warning, Communications and Global Positioning services that sustain our way of life, support our national economy and act as force multipliers in times of conflict. Odyssey Systems provides support to the Government in five areas: Product Support, Sustainment Engineering & Sustainment Management, Technical Order Management, Technical User Interface, and System Design, Engineering, and Integration. These tasks are executed laterally with USSF depot and development contractors and with SDA stakeholders.

This is a full-time position supporting the GMDD Program Management Office in downtown Colorado Springs, CO.



Responsibilities

Branch Administrators operate with broad direction, applying a deep knowledge of administrative processes, procedures, tools and protocol to perform a robust range of administrative tasks, such as; maintaining executive schedules and communication, preparing and reviewing correspondence, tracking and reviewing military and civilian awards, evaluations, and personnel actions, overseeing the administrative operations of a large office or organization, and coordinating large events requiring substantial discretion and attention to protocol.

As an SSC Space Data Branch Administrator, you will perform the full range of administrative support tasks, from basic receptionist and visitor control tasks to the preparation, coordination and publication of a wide variety of documents, graphics, presentations, spreadsheets, schedules, and other administrative products. The Administrator may be responsible for tracking and validating company or client technical or financial information, establishing and maintaining files, preparing reports and monitoring deliverables. The Administrator may serve as liaison regarding administrative issues related to purchasing, personnel, facilities, and operations. The Administrator may manage supply and travel accounts and documentation. The work requires knowledge of administrative principles, policies, and procedures, and the application of a variety of automated and non-automated tools, forms and templates. Administrators must be able to communicate verbally and non-verbally in a clear, concise and professional manner, exercising the decorum required in a professional work environment. Duties include, but are not limited to:

    Manage the Lead System Program Manager's (SPM) dynamic calendar and travel schedule, interfacing with senior officers/executives from multiple military commands and intelligence agencies, and facilitating communication between the Division and Portfolio leadership and across the team
  • Schedule and prioritize meetings/events to maximize the SPM's time, ensure realistic scheduling, and be able to identify meeting participants, subject matter experts (SMEs) and required materials from the team to thoroughly address meeting topics
  • Develop, organize, and setup meetings to include weekly staff meetings, financial and program reviews, execution reviews, and other meetings as needed
  • Support the SPM and staff to communicate program issues or concerns, and to request and advocate for executive decisions, intervention, and support
  • Arrange travel plans for the SPM using the Defense Travel System, to find and book optimal flights, lodging, and transportation to meet mission requirements
  • Assist with preparation of travel vouchers in the Defense Travel System following trips and perform records management and gather/develop all necessary paperwork/documentation
  • Draft, review, and edit correspondence to ensure compliance with standards, including Tongue and Quill, Directorate and Division guidance, and templates
  • Assist in the reviewing and processing of military awards and decorations, evaluations, military correspondence, military, and civilian personnel actions, and should have a basic understanding and comfortability in these areas
  • Help ensure the SPM is thoroughly prepared for each scheduled event to include scheduling preparation time, providing read-ahead materials, biographies of participants, subject matter experts, and arranging advanced meetings, as required
  • Prepare correspondence, handle information requests, and perform functions such as answering phone calls, organizing, and scheduling meetings/VTCs, arranging conference calls, receiving/escorting visitors, writing meeting minutes as required, making copies, and managing functions such as mail, courier service, records management, etc.
  • Track and manage work tasks/action items using AFSPC's Task Management System (TMT)
  • Assist security personnel and visitors with security clearance verification, building access, data transfers, processing visit requests, etc., as required
  • Other duties as required/requested by the Government and within scope of the S3 contract


Qualifications

Citizenship: Must be a US citizen

Minimum Required Qualifications

  • Clearance: DoD Secret clearance, able to obtain a DoD TS/SCI clearance
  • Education: Bachelor's degree or higher in a relevant field
  • Years of Experience: 3 years supporting senior personnel in a similar role in a Department of Defense, Missile Defense Agency, or Intelligence organization
    • Familiarity with standards and experience preparing and routing correspondence in a Space Force, Air Force, or other DoD organization
    • Proficient in Microsoft Office applications (i.e., Outlook, Word, PowerPoint and Excel)
  • Interpersonal Skills: Exceptional professionalism and proven experience exercising discretion and confidentiality with sensitive organizational and personal information

Preferred Qualifications

  • Clearance: DoD TS/SCI clearance
  • Education: Master's degree or higher in a relevant field
  • Years of Experience: 5 or more years of experience supporting military or civilian personnel in a similar role in a Department of Defense, Missile Defense Agency, or Intelligence organization
  • Interpersonal Skills: Strong communications skills (phone, email and in-person)
    • Proven ability to work collaboratively and effectively in fast-paced environment

Additional Information:

Location: Work is performed in downtown Colorado Springs, CO with work and meetings intermittently performed at Peterson SFB and Schriever SFB.

Travel: Up to 10% to CONUS and OCONUS locations upon Government direction
