Position Description

Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.

Major/Essential Functions


  • First line of communication with visitors in-person and on the phone.
  • Receive incident reports from campus partners including TTPD, Office of Student Conduct, etc. Assist with walk-in visitors as needed.
  • Budget/Finance: Manage supply orders and standard purchasing through TechBuy. Reconcile PCard; Department Budget
  • Submit work orders and communicate departmental needs/requests to other campus departments/outside vendors as needed. Process departmental travel (pre-approvals, travel advances and expense reports).
  • HR functions: Assist in position management/onboarding processes for new staff in conjunction with hiring manager (job positing, ePAF creation, door/building access, etc).
  • Assist office staff with case management database, Maxient. Assist with facilitating weekly staff meetings. Keep minutes and documentation of all Compliance Meetings. Assist in maintaining a wide variety of complex and/or confidential records and files.
  • Draft written correspondence, arrange conference calls, schedule meetings, answer calls, and manage multiple calendars.
  • Assist with pregnancy and parenting students' registration.
  • Support office staff with other administrative duties as needed.

Knowledge, Skills, and Abilities

Ability to work independently; to effectively communicate with supervisors, peers, and other departments in person, on the phone, and through email; to organize, coordinate, and prioritize tasks for multiple staff members. Knowledge of administrative and clerical procedures and systems. Microsoft Office skills include advanced knowledge in excel, word, and PowerPoint. Ability to write professional business correspondence such as memos, letters, emails, and policies. Ability to clearly communicate information, ideas, and directions both orally and in writing. Ability to work with internal and external departments to coordinate meetings and activities.

Required Qualifications

Bachelor's degree in job related field plus one year responsible experience. Additional specific job related experience may substitute for required education on a year for year basis.

Preferred Qualifications


  • Experience in Texas Tech University processing systems (TechBUY, Raiderlink, Banner, Raider Success Hub, Maxient, etc).
  • Knowledge of Texas Tech University's campus.
