Position Description

The Wholesale Loan Documentation Specialist is responsible for producing all internally-prepared loan documentation in Wholesale Banking in accordance with the needs of the Wholesale Team and their clients, and ensures compliance with internal policies and procedures, applicable governmental regulations, and sound lending practices. In addition, the Wholesale Loan Documentation Specialist shall also prepare documentation, process annual reviews and renewals, and ensure proper booking and administration of Letters of Credit ("L/Cs"). The Specialist must be capable of working in a high paced environment, and possess a strong comprehension of industry regulations and internal policies and procedures. Candidates should have a thorough understanding of commercial lending practices and collateral security types (such as real estate and UCC financing statements), and a demonstrated ability to evaluate documentation needs and generate closing documents including, but not limited to, credit agreements and promissory notes.

Position Accountabilities



  • Provide superior service to internal clients by taking ownership of client needs and requests and following through to ensure timely and accurate resolution
  • Review and understand Atlantic Union Bank compliance policies and procedures as well as the legal and regulatory requirements in footprint states.
  • Monitor policy and procedure repositories for changes, and stay apprised of current requirements.
  • Reviews organizational documents to verify borrower/guarantor's existence and signature authority.
  • Review credit approvals to identify documentation requirements and ensure compliance with the approved loan terms.
  • Support the lending process by producing legal documentation required for closing various types of transactions through timely and accurate input to internal systems
  • Serve as a subject matter expert (SME) in loan documentation and lien perfection
  • Prepare letter of credit documentation and ensure proper booking of the L/Cs on the system of record in accordance with established procedures
  • Act as a gatekeeper for Wholesale transactions to confirm that certain compliance or regulatory requirements or due diligence items have been completed before preparing or releasing internally prepared documents
  • Provide clear verbal and written communication to internal partners in the line of business and third parties, (e.g., attorneys, insurance agents, and title companies), as needed
  • Maintain a high degree of professionalism and confidentiality while accessing and handing sensitive information
  • Perform departmental risks and controls routinely and ensure documentation is properly imaged and stored in the authorized systems of record.
  • Effectively work independently and when needed, also collaboratively
  • Ensure daily production goals and SLAs are met, while maintaining quality
  • Assists Manager- Wholesale Loan Documentation in training the Wholesale Loan Documentation team.
  • Works on special projects, as needed.
  • Reviews complex title reports and helps junior teammates to ensure that the chain of title is satisfactory and does not contain exceptions that are unacceptable to the bank, and issues closing instructions to title companies.
  • Reviews complex UCC searches and other supporting documentation and helps junior teammates to confirm collateral ownership and lien position.
  • Demonstrate commitment, care and courage in internal customer and teammate interactions.



Organizational Relationship

Position reports to the Manager-Wholesale Loan Documentation.

Position Qualifications

Education & Experience



  • High School diploma or equivalent required.
  • Minimum 5 years of bank operations or business lending experience
  • Banking/accounting/finance experience preferred



Preferred Qualifications:



  • Associate's degree or Bachelor's degree in Business-related field
  • Knowledge of escrow, title, real estate closing, and lien perfection
  • Experience with and understanding of loan closing components including documentation, approvals, funding, exceptions and administration
  • Commercial real estate paralegal experience of at least two years would qualify for Specialist 3 or 4 position

  • Ability to prioritize tasks and meet deadlines
  • Familiar with loan documents and regulatory and legal requirements for loan operations
  • Proficient with MS Office Suite
  • nCino and CSI knowledge preferred
  • Excellent customer service skills
  • Superior oral and written communication skills
  • Detail oriented and quality focused
  • Flexible, able to adapt to change



Salary offered will be based on several factors including but not limited to education, work experience, certifications, etc. This position is also eligible to participate in either an applicable incentive compensation plan for the position or a discretionary profit sharing bonus program.
