Operations coordinator serves patients, staff, and clinicians of Optum Oregon by providing excellent internal and external customer service through administrative support at the Central Business Office. Organizes and coordinates special projects and events as needed.

This position is full time Monday - Friday. Employees are required to work an 8-hour shift schedules during our normal business hours of 8:00am - 5:00pm PST. It may be necessary, given the business need, to work occasional overtime.

We offer on-the-job training. The hours of the training will be aligned with your schedule.

Primary Responsibilities:

  • Responsible for a broad variety of administrative tasks that may be confidential in nature. Supports Optum Oregon Operations, including primary care and specialty care clinic operations, and ancillary services (lab, imaging).
  • Creates and maintains Operations reports and spreadsheets, partnering with clinic managers to obtain relevant data, and pulling reports directly from the electronic health record system (Epic).
  • Receives information from Operations leaders and transcribes into appropriate workflow or policy format. Assists with distribution of meeting agendas or other documentation.
  • Schedules onsite and offsite meetings, including coordinating venue and catering. Supports and coordinates special projects and events such as employee recognition events, holiday parties, and other celebrations.
  • Represents Optum Oregon to staff, clinicians, and vendors. Answers multi-line telephone, screens calls, and responds to general email and walk-in patient, vendor, or staff inquiries.
  • Establish new vendor contract, maintain, update, modify existing vendor contracts and policies
  • Proficient in Project Management
  • Processes all incoming and outgoing mail, including opening, sorting, and distributing mail from the Central Business Office's (CBO) Post Office Box, processing correspondence files from the lockbox, and processing returned mail.
  • Accurately posts incoming cash payments from patients and ensures deposits are completed promptly.
  • Takes photos and creates badges for new hires and current employees.
  • Monitors office supplies for Operations and orders as needed. Maintains cleanliness and supplies of break room.
  • Maintains accurate and up-to-date files, records, and documentation.
  • Maintains highest levels of professionalism and strictest confidentiality.
  • Performs other duties as assigned.

Required Qualifications:

  • High School Diploma / GED OR equivalent work experience
  • Must be 18 years of age OR older
  • 2+ years of customer service experience using computers and telephones as primary job tools
  • Experience with computers and Windows based programs with Microsoft Word, Microsoft Excel, Microsoft PowerPoint & Microsoft Outlook
  • Must have reliable form of transportation
  • Ability to travel flexibly up to 25% of the time to provide coverage at other sites within a 15-mile radius of the primary location (444 NW Elks Drive, Corvallis, OR), as needed

Preferred Qualifications:

  • 3+ years of administrative experience, preferably in a healthcare setting
  • Project Management Skills

  • Excellent communication skills, both verbal and written, with strong skills in grammar, spelling, and punctuation
  • Planning, prioritization, organization and execution skills. Anticipates and responds to changing workload demands
  • Understands, translates, and applies organizational objectives to assigned responsibilities

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $17.74 - $31.63 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
