WOOD Federal Solutions, Inc. is seeking a highly organized, proactive, and discreet Executive Assistant to support the President/CEO. This role is critical to ensuring the smooth operation of executive-level activities and requires exceptional administrative skills, sound judgment, and the ability to manage multiple priorities with professionalism and confidentiality. Responsibilities
Provide high-level administrative support to the President/CEO, including calendar management, meeting coordination, and travel arrangements.
- Serve as a gatekeeper and liaison between the CEO and internal/external stakeholders.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Track and follow up on action items, deadlines, and priorities across departments.
- Manage confidential information with discretion and integrity.
- Coordinate logistics for board meetings, executive briefings, and strategic sessions.
- Assist with special projects, including internal communications, audits, and R&D initiatives.
- Maintain organized records and filing systems (digital and physical).
- Support the CEO's engagement with clients, partners, and government agencies.
- Anticipate needs and proactively resolve scheduling or operational conflicts.
- Represent the CEO's office with professionalism and tact.
Qualifications
Required Education & Experience:
- Bachelor's degree in Business Administration, Communications, or related field preferred.
- Minimum of 5 years of experience supporting C-level executives, preferably in government contracting or professional services.
- Exceptional organizational, communication, and time management skills.
- Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and collaboration tools.
- Ability to handle sensitive information with confidentiality and discretion.
- Strong writing and editing skills.
- Proven ability to work independently and manage competing priorities.
- Professional demeanor and ability to interact with senior leadership and external stakeholders.
Preferred Qualifications
- Experience supporting executives in a federal contracting environment.
- Familiarity with ISO audit preparation, security protocols, and internal R&D coordination.
- Ability to adapt quickly and thrive in a dynamic, fast-paced environment.
