The Talent Acquisition Coordinator plays a vital role in enhancing the efficiency and effectiveness of recruitment operations. This position supports the full lifecycle of hiring and onboarding by providing high-level administrative and project support to the Talent Acquisition team. The ideal candidate is a proactive and detail-oriented professional with strong organizational and project management skills, committed to driving continuous improvement across TA processes.

PRIMARY DUTIES AND RESPONSIBILITIES

Recruitment Coordination & Scheduling



  • Serve as a backup for pre-employment activities, including initiating and monitoring background checks, drug screenings, and medical exams.
  • Ensure timely and accurate completion of onboarding tasks to support a smooth candidate experience.
  • Serve as TA Interview scheduling coordinator for selected TAS areas


Project Support



  • Support the planning and execution of Talent Acquisition initiatives, ensuring timely delivery of project milestones and effective stakeholder communication.
  • Assist with post-project evaluations to identify successes and areas for improvement.


Process Improvement



  • Assist in analyzing current recruitment workflows to identify bottlenecks and recommend enhancements that improve speed, quality, and candidate experience.
  • Collaborate with team members to implement process changes and track outcomes.


Stakeholder Engagement



  • Partner with recruiters, hiring managers, HR business partners, and external vendors to coordinate efforts and ensure alignment on recruitment goals.
  • Maintain clear and consistent communication across all stakeholders.


Data & Reporting



  • Create and maintain dashboards and reports to monitor onboarding progress and scheduling metrics.
  • Provide data-driven insights to support decision-making and continuous improvement.


Compliance & Governance



  • Maintain proper new hire documentation in accordance with applicable laws, company standards, and records retention policies.
  • Assist with various audit requests such as bi-annual SOX and NERC CIP-004 audits.


QUALIFICATIONS

Education
Required: High school diploma or equivalent.
Preferred: Associate's degree in Human Resource Management, Business or related field.

A college degree from an accredited institution may be considered in lieu of some experience.

Experience
Required: 2 years of experience as HR/TA Coordinator, HR Assistant, or similar role.
Preferred: 2 years of experience supporting an HR function, more specifically Talent Acquisition.

  • Proficient in building and maintaining relationships with various stakeholders.

  • Expert in record keeping.

  • Experienced in utilizing Applicant Tracking Systems (ATS).
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).



Preferred:



  • Knowledge of SuccessFactors system is highly desirable.
  • Proficient in interpreting and implementing company policies, procedures, and legal requirements related to hiring practices.
