Position Summary
The Technology Optimization Project for Educational Data (TOP-ED) is an initiative that seeks to modernize, optimize, and coordinate technology solutions for managing medical degree curriculum, student assessments, and faculty evaluations at the College. It includes the domains of technology and business process as well as the supporting organizational structure and skills development to help the campuses better align with one another and with the University and UI system. The Visiting Director of TOP-ED Implementation is accountable for mapping the College's medical curriculum courses into Acuity Insights and overseeing the migration of student data from legacy systems into this new software platform. In collaboration with the College's Director of Registration & Records, the Visiting Director will ensure the continuity in academic operations and compliance with institutional policies and regulations.

The Visiting Director of TOP-ED Implementation will support the Associate Dean in aligning course structuring, student data modeling and support functions with the requirements of the College's academic units and administrative departments, ensuring the provision of effective curricular planning services for the College of Medicine. By communicating and collaborating with the Office of Educational Affairs and various stakeholders, including faculty, staff, and students across the College, the Visting Director will foster robust partnerships between COM Information Resources, the College of Medicine community, UIC, and UI System.


Duties & Responsibilities

  • Oversee the development, continual improvement, and expansion of College curriculum and student records management, services, and protocols.
  • Offer advisory services in support of College's Registrar, focusing on process stabilization throughout the transition.
  • Plan, assign, and review staff work across the College to ensure the successful implementation of TOP-ED and records management objectives are met.
  • In collaboration with the department's leadership team, develop and manage an internal catalog of services, service owners, dependencies, and interrelationships of student record components and data flow to enabling client-facing staff to manage service delivery more effectively.
  • In collaboration with the department's leadership team, engage in service design; coordinate TOP-ED service rollouts with service owners and community members, ensuring accurate and accessible documentation and knowledge articles, support services, communications, and marketing information for the university.
  • In collaboration with the department's leadership team, develop, refine, and champion governance processes to include IT Governance, Dat Governance and other processes intended to ensure good stewardship of curricular planning and student record decision making within the College.
  • Support College Registrar on the processes for measuring and logging academic progress in Ellucian BANNER and Acuity Insights.
  • In collaboration with the University's (UIC) Registrar, provide advisory support related to the institution's student information systems and ancillary applications used to facilitate key record keeping activities.
  • Provide insights and recommendations to the UICOM Registrar's office where processes can be optimized including suggestions for technology and resource optimization.
  • Participate in strategic, budget/fiscal, and technology planning for the department, suggesting day-to-day and long-term enhancements to service delivery.
  • Ensure that there are processes and systems in place to systematically collect, analyze, and apply course planning to student performance metrics and improvement of the department's services.
  • In partnership with the Director of Instructional Technology & Design and the Director of Assessment & Evaluation, ensure the availability of effective professional development and training opportunities associated with core staff, course directors and teaching faculty to enable long-term alignment between Acuity Insights and Ellucian BANNER.
  • Ensure compliance with relevant laws, regulations, and industry standards.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications

    • A minimum of a Master's degree in a related field is required.
    • A minimum of ten years in a University Registrar's Office.
    • A minimum of ten years working on curricular planning and student records within the Ellucian BANNER environment.
    • Candidates must have extensive knowledge of student records policy and practices.
    • Candidates must have extensive experience implementing new student data management platforms.
    • Strong communication, leadership, and customer service skills, in addition to technical acumen.

    Preferred Qualifications
    JD or PhD degree in a related field.
