*Privileges based on occupancy and business levels Definition: The IT Administrator / IT Technician provides administrative, operational, and technical support to the IT Department. This hybrid role combines administrative support functions for IT leadership with Tier 1 technical support responsibilities, asset management, and vendor coordination. This position serves as a primary point of contact for IT support calls, handles entry-level troubleshooting, processes department invoices and POs, maintains IT documentation, assists with IT projects, and performs hands-on technical tasks such as hardware setup, cable runs, and equipment transport. The role also supports the Director of IT with administrative duties such as scheduling, documentation, procurement tracking, and department organization. General Duties:
- Administrative Support to Director/Asst Director of IT
- Provide direct administrative support to the Director of IT, including calendar management, meeting scheduling, travel arrangements, conference registrations, and document organization.
- Screen incoming calls and route appropriately; prioritize urgent communications.
- Maintain organized physical and digital files, including contracts, documentation, invoices, and asset folders.
- Track department deadlines, project timelines, conference dates, invoice cycles, and other key calendar events.
- Attend IT meetings, take minutes, and provide administrative insight where needed. Create strong processes to track technical issues and maintain vendor accountability.
Financial & Procurement Administration
- Generate, code, allocate, and track all POs, invoices, and bills for the IT Department.
- Ensure all invoices are coded correctly and submitted to Accounting within 3 business days.
- Maintain detailed logs of PO and invoice lifecycle (ordered, received, invoiced, paid).
- Reconcile invoices with recurring charges, budgets, and the IT checkbook to ensure accuracy.
- Notify the Director of IT of potential discrepancies, budget concerns, or vendor billing issues.
Technical Support & Ticket Handling
- Provide first-level technical support to resort associates via the ticketing system, phone, or in person.
- Install, configure, and maintain computers, mobile devices, POS terminals, printers, and peripherals.
- Troubleshoot hardware, software, and network issues across guest services, F&B, golf, spa, retail, and administrative areas.
- Grant and remove user access in Active Directory and other resort systems.
- Perform routine system checks, updates, malware scans, and preventative maintenance.
- Support resort-wide systems including PMS, POS, time clocks, card readers, guest Wi-Fi, and back-office applications (training provided as needed).
- Document issues, repairs, asset details, and resolutions according to department standards.
- Identify and escalate complex issues to senior IT personnel or management.
- Assist with network equipment, cabling, telecom devices, and VoIP systems under supervision.
- Deploy new hardware and assist with technology projects and upgrades.
- Maintain a high level of professionalism and hospitality in all interactions with members, guests, and associates.
Employment Standards:
- High-school Diploma/GED
- 2-4 years' experience in Information Technology related fields; preferably within the hospitality/resort industry.
- Experience with Windows operating systems, Microsoft 365, hardware diagnostics, and basic networking concepts.
- Knowledge of PMS, POS, Keycard and PBX systems desired.
- Strong communication and customer service skills.
- Ability to prioritize tasks and work in a fast-paced environment.
- Strong problem-solving skills and desire to learn new technologies.
- Must be able to work well under pressure and maintain a sense of urgency.
Physical & Mental Requirements:
- Employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds.
- Must be able to stand; use hands to finger, handle or feel; reach with hands and arms; and talk or hear.
- Employee is required to walk, sit, push or pull.
