SUMMARY

Receptionist is responsible for receiving and routing incoming calls and greeting visitors in a friendly, professional, business-like manner. Assist support staff with various projects, which include typing, data entry, maintenance of reference materials, mailings and other projects as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administration Support Functions: Answer, screen, route and direct calls to the appropriate party in a professional, business-like manner;

Take complete and accurate messages for individuals who are unavailable to take phone calls or promptly route callers to voicemail;

Become familiar with senior management priority contacts. Be able to recognize the senior management and owners' phone numbers, voices and be able to greet them by name;

Develop an overall understanding of the phone system and voicemail. Communicate effectively any phone system, long distance or voicemail problems to IT and or Supervisor;

Communicate time/date of accidental mis-use of 911 emergency system to IT for reporting and employee training;

Order, quality check and assist with re-stocking supplies as needed for the office by coordinating with administrative staff when we are low, special events, etc.;

Keep up to date desk manual outlining procedures performed by receptionist;

Front Desk Management: Work collaboratively with fellow staff to maintain coverage at front desk at all times by coordinating unexpected or unplanned breaks, time-off, change in lunch schedules, etc.);

Assist with visitors and vendors by confirming appointments, preparing reader board, creating name badges, managing sign-in records, offering beverages, hanging coats, etc.;

Special Projects: Work collaboratively with fellow staff to advance the values and mission of Senior Market Sales by serving on relevant internal and external committees; Assists with special projects/assignments as requested by members of management;

Performs other duties as assigned by management.


QUALIFICATIONS
EDUCATION / EXPERIENCE

High School Diploma or GED required

One (1) to two (2) years of receptionist, administrative, or customer service experience required
