Job Summary:

Aleron is seeking an experienced Contracts & Legal Operations Administrator. This role's primary function is supporting the contract review and administration process, and the position will oversee and manage the lifecycle of contracts within our organization and maintain responsibility for the review and administration of contracts, sample agreements contained in requests for proposals (RFPs), leases, etc. This position reports directly to our General Counsel and offers an exciting opportunity to work in a fast-paced environment, interact with stakeholders at all levels, and contribute to the success and growth of our global operations.

The Contracts & Legal Operations Administrator has additional duties in the areas of Facility Security and Risk. For the Facility Security function, the Contracts & Legal Operations Administrator must be able to obtain top secret clearance and will maintain the company's security clearance and assist onboarding workers with the security clearance process. In the Risk department, the Contracts & Legal Operations Administrator will conduct route approvals of new facilities and positions and will have the responsibility for reporting new incidents to the proper channels.

Essential Duties and Responsibilities:
  • Manage the end-to-end contract lifecycle, including drafting, reviewing, and negotiating contracts, amendments, and renewals
  • Provide detailed reviews, analyses, and recommendations for RFPs, contracts, purchase orders, and leases to ensure accuracy, legality, and responsiveness to requirements
  • Draft agreements and amendments for customer and supplier agreements for all service lines
  • Collaborate with internal stakeholders, including legal, finance, sales, and operations teams, to gather necessary information and facilitate contract negotiations
  • Act as a primary point of contact for external parties, including clients, vendors, and partners, to address contract-related inquiries and resolve issues
  • Clarify/explain contractual requirements to suppliers/vendors as necessary
  • Develop and maintain contract templates, standard operating procedures, and best practices to streamline contract management processes
  • Create, compile, review, and maintain databases of document files for all contracts
  • Prepare correspondence requests for modification and/or clarification, identify contractual deficiencies, and other issues
  • Obtain and maintain top secret government security clearance and keep all required trainings up to date
  • Serve as primary point of contact for cleared workers during the onboarding process to shepherd the workers through the clearance process
  • Intake and report out employee workplace injuries, in consultation with more senior risk department guidance
  • Provide initial assessment of safety risks posed by new positions and worksites in accordance with company guidance
Job Requirements
Qualifications and Skills:

Required:

  • At least some experience in contract administration or review of similar documents (paralegal experience will be considered)
  • Basic understanding of contractual terms, contract management principles, and best practices, with significant on-the-job training in the contracts area to be provided
  • Ability to obtain and maintain top secret government security clearance
  • Strong analytical skills, with the ability to assess contract terms, identify risks, and propose solutions
  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with internal and external stakeholders
  • Detail-oriented mindset, with a focus on accuracy and quality in contract documentation and administration
  • Proficiency in contract management software and Microsoft Office Suite (Word, Excel, PowerPoint), especially with redlining/tracking changes in Microsoft Word
  • Ability to work independently with minimal supervision and manage multiple priorities in a fast-paced environment
  • Flexibility to adapt to changing business needs and work effectively in a global, multicultural environment
  • Candidates must be highly organized, self-motivated, willing to accept direction, have strong oral and written communication skills, and possess the capacity to work in a deadline-oriented, fast-paced environment
Physical Demands, Work Environment, and Travel:
  • This role operates in a modern, hybrid work environment, utilizing technology such as laptops, video conferencing tools, cloud-based applications, and collaborative platforms. Flexibility for remote work is supported, while in-office settings may still involve the use of standard office equipment like computers, telephones, and printers.
  • The physical demands described here are representative of those required for an employee to successfully perform the essential functions of this job. While carrying out job duties, the employee must regularly be able to speak clearly and hear effectively to communicate with others. The role also frequently requires standing, walking, using hands for fine motor tasks, and reaching with arms.
