The Position Job TitleMortgage Escrow Specialist Job Description

Summary

The Escrow Specialist is responsible for administering real estate tax escrow functions within the mortgage loan servicing operation. This role serves as a subject matter expert, independently researching and resolving complex escrow-related issues while ensuring compliance with all federal, state, local, investor, and company policies and procedures.

Essential Duties and Responsibilities

  • Ensure accurate setup and validation of real estate tax information during loan onboarding.
  • Monitor, process, and ensure the timely and accurate payment of escrowed real estate taxes.
  • Perform scheduled escrow account analyses in accordance with bank policy, regulatory requirements, and investor guidelines.
  • Research and resolve customer inquiries, internal requests, and escalated issues related to escrow and real estate taxes.
  • Manage and maintain the relationship with third-party tax vendors to ensure accurate reporting and tax disbursements.
  • Monitor delinquent real estate taxes and ensure proper resolution in compliance with applicable regulations.
  • Participate in special projects and perform additional mortgage servicing duties as assigned.

Additional Duties and Responsibilities

  • Perform other duties as assigned by Executive Management or Supervisor.
  • Provide consistent, high-quality customer service.
  • Maintain a clean and professional workstation.
  • Identify and recommend process improvements to management.
  • Complete all required compliance and regulatory training annually.
  • Cross-train in all escrow-related servicing functions.
  • Adhere to all company policies, procedures, and code of conduct.
  • Maintain professional appearance in accordance with company dress code.

Employee Qualifications

Education and Experience

  • High School Diploma or GED (required)
  • Bachelor's degree or equivalent work experience (preferred)
  • Minimum of 5 years of mortgage escrow experience
  • Minimum of 5 years in a financial services or operations environment
  • Ability to pass background and credit check

Technical and Functional Competencies

  • Strong understanding of mortgage escrow, real estate tax processes, and regulatory requirements
  • Basic mathematical aptitude
  • Proficiency with computer systems and standard office software
  • Knowledge of MSP servicing system (preferred)
  • Strong written and verbal communication skills
  • Exceptional customer service and negotiation skills
  • Strong organizational, analytical, and problem-solving abilities
  • Ability to exercise sound judgment and make independent decisions
  • Ability to work effectively in a team-oriented, fast-paced environment
  • Strong interpersonal skills with the ability to interact across all levels of the organization
  • Ability to use email, phone, and other communication tools effectively
  • Dependable, detail-oriented, and able to meet deadlines
  • Demonstrates initiative and willingness to assume additional responsibilities
  • Ability to travel as needed

Physical Requirements

This position is primarily sedentary and requires:

  • Prolonged sitting or standing, walking, repetitive motions, finger dexterity, and visual acuity
  • Occasional lifting of up to 10 pounds
  • Occasional stooping or kneeling

Work Environment

  • Standard office environment, with occasional vendor site visits
  • Moderate noise level

Work Schedule

  • Monday through Friday (On-site)
