Title- Office Administrator D Location- Everett, WA Duration- 12 Months Job description The ideal candidate has experience supporting executives with a high degree of professionalism and discretion, while also being proactive and demonstrating robust attention to detail, along with the ability to adjust priorities efficiently and effectively. Position Responsibilities: * Establish and maintain effective working relationships with internal and external customers, co-workers and peers, while maintaining the highest level of confidentiality with sensitive information and while working under tight and often competing deadlines * Assist in planning, coordinating, and implementing logistics for visiting customers and CLIENT executives, including supporting visitor badging requests * Process and screen incoming and outgoing communication and correspondence to ensure proper dissemination of information * Prioritize, manage, and schedule time and availability for most efficient use of time * Coordinate domestic and international business travel, monitor traveler logistics, generate expense reports, and reconcile corporate credit card charges to ensure timely and accurate reimbursement * Create, edit, and maintain electronic and written communication * Coordinate with the appropriate focal to support the acquisition and maintenance of resources * Order and maintain office supplies * Track and maintain designated conference room schedules for availability and efficient use of resources * Create, manage and schedule meetings around multiple calendars and appointments * Provide guidance for less experienced employees * Work under limited supervision This position is expected to be 100% onsite. The selected candidate will be required to work on-site at one of the listed location options. Basic Qualifications (Required Skills/Experience): * High School Diploma or higher * Experience supporting multiple Executives. * Experience with Microsoft Outlook, Word, Excel and SharePoint. * 5+ years experience in an office administration role * Experience managing dynamic schedules and calendars. * Experience coordinating and processing domestic and international travel arrangements, generating expense reports and reconciling corporate credit card charges. Preferred Qualifications (Desired Skills/Experience): * Experience with client procurement tools such as SSPN. * Ability to juggle competing priorities from different sources. * Team oriented attitude and working together focus. | |
