Associate Director of Leave of Absence Administration (Leave of Absence Administration)

Reporting to the Director of Leave of Absence Administration, we are seeking an Associate Director of Leave of Absence Administrationto focus on University-wide Leaves of Absence (LOA) and reinstatements. The University's desire to support students leaving and returning to JHU due to health or personal circumstances makes this position crucial in seeing to the overall success and retention of JHU students. The LOA process is for all university undergraduate and graduate students.

The AD supervises a Leave of Absence Outreach Coordinator and Leave of Absence Triage Specialist. The AD, LOA Outreach Coordinator, and LOA Triage Specialist collaborate and consult with colleagues and faculty across all schools and divisions at JHU, including the Division of Student Affairs and University Administration.

The AD is responsible for overseeing outreach and tracking for all students taking a LOA and returning, and continuing to follow up and connect to resources throughout the student's time at JHU. This position will serve as the primary resource for students who are out on Voluntary Leave or Required Leave from the University, by maintaining regular contact with those students, encouraging a return to the University, and offering support, resources and mentoring upon their return and until their subsequent graduation. The AD will collaborate with Student Health and Well-Being and Student Outreach and Support to support students leaving and returning for medical reasons. This position will manage the administrative aspect of the leave and reinstatement process for all JHU divisions (approximately 1,000 students each year) and will provide guidance to the other divisions by serving as the primary resource for support of their student populations. This person must have the background, experience, and gravitas to support policy implementation in a university-wide capacity, routinely working with Student Affairs leadership, University and Divisional Registrars, USS leadership, and school-based leaders and stakeholders from around Johns Hopkins University.

Specific Duties and Responsibilities


Leave of Absence Administrative Oversight

  • Supervise LOA Outreach Coordinator and LOA Triage Specialist.
  • Create outreach and communication timeline(s) for students on leave and who have returned.
  • Meet with students seeking/applying for Voluntary Leave of Absence (VLOA) to go overprocess, expectations, and timeframe.
  • Provide administrative coordination of the University-wide Required Leave of Absence (RLOA) process, including, but not limited to, coordinating the RLOA committee and processing all RLOA cases in Maxient.
  • Coordinate the Welcome Back Blue Jay event for returning undergraduate students.
  • Collect all pertinent information for a student requesting a leave of absence, ensuring a coordinated approach with relevant campus partners.
  • Track and monitor students on a leave of absence, keeping in regular contact to determine when and if the student can return.
  • Ensure a successful student experience for students once reinstated, including but not limited to, providing resource referrals and other regular touchpoints.
  • Keep track and analyze LOA data for LOA Administration office, in conjunction with the Assessment and Analysis office.
  • Create reports at the end of each semester outlining LOA data and impact.
  • Coordinate and facilitate the Medical Leave of Absence (MLOA) reinstatement process and lead collaborative efforts with the clinical team from Student Health and Well-Being.
  • Collaborate with Academic Affairs and other Schools/Divisions to ensure all LOA processes are consistent.

Outreach, Training, and Education

  • Assist in training and consulting with faculty, staff, students, parents, and external stakeholders on early intervention and student success referral processes.
  • Provide relevant training around resources and support to campus partners, including, but not limited to Student Affairs, Student Outreach and Support, Academic Advising, Mental Health Services, Student Financial Services, Housing, Student Disability Services, Health and Wellness, Public Safety.
  • Serve as the point of contact for all JHU divisions managing the leave and reinstatement process and provide support to the other divisions serving as the primary resource for support of their student populations.
  • Serve as a departmental liaison to designated campus partners.
  • Participate fully in the programming sponsored by Student Affairs, including but not limited to Orientation, Family Weekend, Senior Week, and Commencement.
  • Serve on committees as appropriate.
  • Some night and weekend work required.
  • Complete other special projects as assigned by the Director of Leave of Absence Administration.
  • This position serves as part of the University-wide on-call rotation.

Knowledge, Skills, and Abilities

  • Demonstrated knowledge of online student tracking systems and database management.
  • Confidentiality, tact, and a high level of administrative and communications skills are required.
  • Excellent interpersonal, problem-solving, and organizational skills.
  • Strong attention to detail and accuracy.
  • Strong interpersonal, verbal, and written communication skills.
  • Proficiency with databases and technology; video conferencing; software, web management, and managing recordings.
  • Ability to work in complex decentralized processes. Demonstrated understanding of the mission of a complex, decentralized research university.
  • Ability to thrive and bring order and direction to ambiguous situations.
  • Demonstrated ability to work independently, exercise discretion and mature judgment, and manage multiple priorities at once.
  • Demonstrated organizational skills and the ability to manage multiple projects/assignments simultaneously in a fast-paced work environment.
  • Competency in the Microsoft Office suite software and demonstrated knowledge of database management.


Minimum Qualifications
  • Master's Degree in Education, Counseling, Social Work, Public Health or related field.
  • Three years of experience in higher education or closely related setting; experience working as part of student support team and experience navigating complex, decentralized environments. Experience working in crisis situations.
  • Demonstrated progressive experience managing professional staff.
  • Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Experience using Maxient and Starfish.
  • Five to seven years of experience in higher education or a closely related setting; experience working as part of a student support team and experience navigating complex, decentralized environments.
  • Experience managing leave of absence processes.
