Under the direction of the Assistant to the Chair, this position is responsible for high-level operational, analytical and strategic support to department leadership to ensure efficient operations and strategic growth across all divisions of the Department. This position helps to provide continuity of operations across all divisions while ensuring compliance with the Department's established goals, vision, and strategic direction. This position operates with a significant degree of autonomy, discretion and independent judgment when analyzing department operations and strategy, reviewing complex department issues, interpreting policy and recommending changes.

Examples of Duties

Administration 80% 1.Provide strategic and administrative support to the Assistant to the Chair in carrying out Departmental activities and special projects.
2.Analyze Departmental needs and assist in identifying operational goals of the Department. Ensure goals are in alignment with the overall strategic plan as developed by the Chair, Vice Chairs, Division Chiefs and faculty.
3.Develop a communication plan to ensure faculty and staff are aware of the goals, vision, and strategic operations of the Department. Oversee compliance and progress toward the goals.
4.Oversee the monitoring and evaluation of provider productivity, clinic utilization efficiency, and other key operational performance indicators, ensuring alignment with established Departmental goals.
5.Assist the Assistant to the Chair with analyzing and projecting revenue and expenses to ensure they are in alignment with approved strategic priorities and support leadership decision making. Recommend modifications when necessary.
6.Develop summaries and materials that synthesize financial forecasts with strategic outcomes to inform future decisions by Department leaders.
7.Assist with developing and negotiating new business plans, services and programs. Review and analyze the effectiveness of these activities.
8.Provide analytical support in overseeing faculty recruitment activities, including assessing workforce needs, timing of recruitment and hiring, and incorporating clinical productivity assumptions into the overall strategic plan. Support the Assistant to the Chair with developing financial contracts for individuals being recruited.
9.Review, analyze, draft and recommend Departmental clinical services, academic, and administrative policies and procedures for review by the Assistant to the Chair. Work with clinic management teams to understand clinical needs, operational challenges, and risks to ensure frontline input is included in policy recommendations and solutions. Ensure policies comply with SIU SOM policies and guidelines.
10.Evaluate the effectiveness of operations across all divisions/clinics and make recommendations to support future staffing plans, operational decisions and training needs.
11.Act with delegated authority by the Assistant to the Chair to assess operational issues and staff concerns and recommend solutions.
12.Assist the Assistant to the Chair with billing, Medicare regulations, coding, and third-party reimbursement issues.
13.Provide Department-level oversight and coordination of orientation and training of new personnel across clinical divisions to promote consistency, quality, and alignment with Departmental expectations.
14.Coordinate Department-wide development and distribution of communications, including newsletters, brochures, mailings, and web page activities.
SERVICE 20%
1.As requested by the Assistant to the Chair, represent the Department on SIU SOM and/or SIU HealthCare committees, work groups, and/or administrative meetings.
2.Maintain current knowledge and understanding of industry-related matters and best practices within academic medicine, healthcare administration, and clinical operations.

Qualifications

MINIMUM QUALIFICATIONS 1.Sensitive to the needs of underrepresented minority populations; 2.Bachelor's Degree in Business Administration, HealthCare Administration, Finance or related field; 3.At least 5 years of demonstrated comprehensive and progressive health care administration experience including not less than 3 years of management experience in an academic medical center; 4.Evidence of the ability to communicate well, both verbally and in writing, and evidence of interpersonal skills needed to a successful senior institutional administrator; and 5.A demonstrated ability to understand and work effectively with the various interrelationships present in an academic health care setting.
DESIRABLE QUALIFICATIONS 1.Master's degree in healthcare administration or related field. 2.Prior experience working in a Department of Internal Medicine.
