Position Summary

This position supports the Office of the Chair and the Executive Committee, working closely with members of the Chair's team and other groups to support Chair and EC processes, responsibilities and priorities.

Duties and Accountabilities1
  • Work closely with the Chair, the Executive Committee and the Chair's team to assist with Chair and Executive Committee priorities and responsibilities.
  • Support partner Firm meetings, which take place approximately twice a month. This includes managing and preparing the Chair's remarks; as well as working on day-of responsibilities; generating meeting minutes; maintaining historical records and data; and providing technical and organizational support.
  • Manage the process related to Firm Organization and Leadership changes and documentation to ensure changes are properly communicated and our systems are accurately updated.
  • Maintain leadership and organizational charts in InDesign. Maintain Chair's Office leadership & organizational documentation.
  • Assist with the Partner Evaluation & Compensation process, including preparing analysis charts, presentations and other reports for the Executive Committee and Compensation Committee, as well as working with the Partner Resources team and the Director of EC Operations on communications and other ad hoc items.
  • Data Analysis - maintain and update charts kept by the Office of the Chair; assist the Director of Executive Committee Operations with regular and ad hoc analysis; and perform any other data analysis on an as needed basis (e.g., for Chair speeches and presentations).
  • Produce monthly management report for the Executive Committee. Liaise with various data stewards throughout the Firm.
  • Conduct research, gather data, and provide insights to aid decision-making processes.
  • Anticipate the needs of the Executive Committee and proactively identify opportunities to streamline processes, improve efficiency, and enhance productivity within the Office of the Chair.
Qualifications

A successful candidate will also demonstrate the following:

  • Bachelor's degree.
  • Minimum of 4 years' experience working in a law firm or professional services environment.
  • Exceptional attention to detail and strong organizational skills.
  • Proven ability to manage time effectively, set priorities and follow through on tasks.
  • Capable of working independently and collaboratively as part of a team.
  • Willingness and ability to develop a deep understanding of the firm, its organizational structure and how it works; as well as a deep knowledge of the Chair's and Executive Committee's responsibilities.
  • Excellent written and verbal communication skills with the ability to communicate confidently and credibly.
  • Comfortable interacting with individuals at all levels of the organization.
  • Demonstrated trustworthiness, discretion and wound judgement when handling sensitive or confidential information.
  • Advanced proficiency in Microsoft Word, PowerPoint and Excel (including complex formulas and advanced organizational features). Basic skills in InDesign.
  • Quick to learn and adapt to new technologies.
