Job Summary The Record Release Clerk is responsible for managing all incoming and outgoing medical record requests across all Prevea Health locations. This role ensures proper documentation, validation, reproduction, and distribution of medical records in compliance with federal, state, and organizational regulations. The Record Release Clerk also supports the Record Release Supervisor with audits, reporting, and other administrative tasks as needed, while maintaining a high standard of accuracy, confidentiality, and customer service.
What you will do
- Receive, date-stamp, and document all incoming medical record requests, including mail and telephone inquiries, ensuring completeness and accuracy. Validate release authorizations according to established policies and enter requests into the record release system.
- Reproduce and release medical records accurately and efficiently, ensuring proper handling of confidential information in compliance with HIPAA and other applicable regulations. Manage the mailing, faxing, and delivery of medical records, including calculating correct postage and handling credit card payments if necessary.
- Respond promptly and professionally to inquiries and proactively address concerns, maintaining a high standard of customer service.
- Assist the Record Release Supervisor with audits, monitoring reports, and other tasks as assigned. 15%
- Maintain organized work areas and office equipment, ensuring records and sensitive documents are securely stored. Demonstrate professional behavior, effective communication, punctuality, and adherence to department policies, dress code, and standards of ethics.
Education Qualifications
- High School Diploma and/or GED or equivalent. Required
Experience Qualifications
- 1-3 years Experience in medical records, health information management, or administrative support Preferred
Skills and Abilities
- Computer and Technical Proficiency: Skilled in computer applications and electronic record systems, including Microsoft Office Suite and EHR systems; quick to learn new software and equipment.
- Organizational and Multitasking Skills: Excellent organizational skills, strong attention to detail, and ability to manage competing priorities efficiently.
- Communication and Customer Service: Demonstrated ability to provide exceptional customer service and communicate professionally, both verbally and in writing, with patients and staff.
- Confidentiality and Compliance: Ability to handle confidential information with discretion and professionalism; familiarity with HIPAA regulations and medical record release procedures.
- Office Equipment Proficiency: Skilled in using office equipment, including fax machines, copiers, and multi-line telephones.
- Teamwork and Collaboration: Works effectively as part of a team and collaborates well with others.
- Independence and Time Management: Ability to prioritize tasks, manage time effectively, and work independently while meeting deadlines.
