Operations Administrator

Location: 5455 NE 109th Ave, Portland, OR 97220
Department: Operations
Schedule: Full-Time, Monday - Friday 8:00 AM - 4:30 PM

Wage: $23 - $26 per hour
Reports To: Operations Manager

We are seeking a highly organized and proactive Operations Administrator to support daily operations, regulatory compliance, and workforce efficiency at our hauling facility. This role is essential in maintaining compliance standards, supporting onboarding and safety processes, coordinating administrative operations, and ensuring accurate reporting and documentation.

The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and plays a key role in keeping operations running smoothly.

KEY RESPONSIBILITIES

Compliance & Driver Administration:

  • Maintain all Driver Qualification (DQ) and DOT files to ensure regulatory and company compliance
  • Support HireRight and background screening processes
  • Coordinate random drug and alcohol testing programs
  • Manage incident & injury case documentation from incident through closure
  • Support onboarding for drivers and mechanics

Operations & Administrative Support:

  • Process operational requests including driver reviews, per diem submissions, and end-of-month reporting
  • Coordinate vendor services and facility needs
  • Order, stock, and distribute safety gear, uniforms, and operational supplies
  • Maintain organized inventory and documentation systems

Reporting & Data Management:

  • Enter, update, and maintain accurate operational data across company systems
  • Create spreadsheets, trackers, dashboards, and summary reports
  • Perform calculations supporting performance metrics and bonus tracking
  • Conduct audits, time studies, and compliance checks

Communication & Team Support:

  • Communicate operational updates and procedural changes to drivers and supervisors
  • Train and support leadership teams on internal tools and systems
  • Assist employees with documentation, benefits-related forms, and administrative needs
  • Support engagement initiatives and internal events

QUALIFICATIONS

Required:

  • 2-3 years of office administration, operations support, or customer service experience
  • Strong working knowledge of Microsoft Office
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • High attention to detail and accuracy
  • Ability to manage multiple priorities in a dynamic environment

Preferred:

  • Experience in transportation, logistics, or DOT-regulated industries
  • Familiarity with compliance documentation and onboarding systems
  • Strong analytical and reporting skills
