Overview

This is a full-time Administrative Aide position, in the Waterfront Engineering organization. This position reports to the Waterfront Quality Compliance Manager and the Waterfront Non-Nuclear Structural Design and Engineering Manager and is responsible for all administrative duties of the Quality Compliance department and the Non-Nuclear Structural Design and Engineering department. In addition, this position may be required to provide support for any overload administrative demands for the Waterfront Directorate departments. The work location for this position is at our Groton Engineering facility.

Job assignments for the position include but are not limited to the following:

    Typing, distributing, and filing correspondence, such as letters to customers, internal memorandum, transmittals, and technical reports.
  • Maintaining electronic and hard copy department files, including personnel files.
  • Ordering and maintaining office supplies.
  • Distribution of department mail.
  • Scheduling meetings.
  • Preparing IT Service Requests, EB Notes License Requests and Communication Work Orders.
  • Maintaining the EB phone and personnel listings.
  • Arranging business travel, preparing expense reports, and preparing visit requests.
  • Maintaining department organization charts.
  • Updating department databases, such as commitments, letter file numbers, calculations, and open items.
  • Coordination of department training.
  • Assisting in the development of non-technical business related presentations.


Qualifications

Required:

  • High School diploma or GED
  • 1-5 years of administrative experience
  • Ability to obtain secret security clearance

Preferred:

  • Associate degree or certificate program completion
  • Background in teaching to assist in Knowledge Retention and Transfer (KRT) curriculum development


Skills

  • Typing proficiency of at least 45 wpm
  • Knowledge of correspondence formatting, and experience with PC applications including Microsoft Office Suite (Word, Excel, PowerPoint, Access and Outlook)
  • Must have good written and oral communication skills
  • Must have strong interpersonal communication skills and the ability to work independently
  • Must have the ability to use/learn web-based or distributed system applications
  • Will be expected to accept assignments directly from department staff, relying on supervision only to provide prioritization of conflicting needs
  • Must be able to work in a fast paced team environment
  • Ability to support time-critical assignments and assist with various administrative team members across the Waterfront organization
