Summary of Position Functions

The HR Coordinator Supports day-to-day human resources operations and serves as a key point of contact for employees. This role assists with recruitment, onboarding, employee records, benefits administration, and HR compliance, helping to ensure smooth and efficient HR processes across the region/organization.

Essential Position Functions

  • Prepares, sends, and collects pre-employment documentation including pre-employment background checks and drug screens, communicates to new hires and hiring managers, and completes the onboarding process in the HRMS.
  • Maintains accurate employee files and HR database records, processes the appropriate paperwork for employment changes, and prepares any required documentation.
  • Ensures and maintains HR records are accurate and are stored in the HRMS including benefits and leaves, disciplinary actions, terminations, payroll required documentation, and inquiries into the HRIS system.
  • Acts as a liaison with internal recruiters for interviewing needs.
  • Serves as the first point of contact for HR-related questions and assists employees with benefits, policies, and procedure questions.
  • Maintains all fingerprint applications and cards.
  • Processes employee terminations and sends out the required notice.
  • Ensures I-9 forms are completed and accurate and stored in the appropriate location.
  • Assists with HRMS report.
  • Tracks referral bonuses and submits appropriate documentation for referral to be paid.
  • Schedules meetings and events.
  • Maintains Employee Service Award program.
  • Maintains and sends out monthly birthday cards.
  • Assists with event / activity planning.
  • Leads new employee orientation and benefit sessions.
  • Assists the Human Resources Manager with special projects as needed.

Education and Qualifications

To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Associate's degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • 2-3 years of human resources related experience required including compliance, benefits administration, and HRMS reporting.
  • Familiarity with human resources regulations, policies, and procedures required.
  • ADP experience preferred.

Knowledge, Skills, and Abilities

  • Knowledge of Veregy's services and processes is required which can be obtained through intellect, technical inclination, and dedication to gain such knowledge.
  • Knowledge (Intermediate to advanced) of various operating systems, software products (e.g., MS Office, etc.), is required.
  • Ability to develop strong interpersonal relationships, negotiate with end users, and resolve conflicts.
  • Ability to work in a fast-paced, ever-changing environment with a strong focus on customer service.
  • Ability to work independently and efficiently manage time / workload.
  • Ability to effectively respond to common inquiries or complaints from customers and staff.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to effectively present information and respond to questions from management and staff.
  • Ability to speak and communicate effectively before customers and staff.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to prioritize tasks and tactfully negotiate priority with end users.
  • Ability to work under deadline pressure and extra hours if needed.
  • Ability to carefully follow instructions and procedures, paying close attention to details to ensure accuracy and consistency.

Certificates, Licenses, Registrations

  • SHRM and/or HRCI certification is a plus.
  • Valid driver's license required.
