Position Summary:
The Executive Assistant to the Sporting Director provides high-level administrative, operational, and organizational support to the Club's senior sporting leadership. This role is a trusted partner who helps manage priorities, information flow, and logistics across the Sporting Department, ensuring the Sporting Director and technical staff can focus on competitive performance, roster strategy, and long-term football operations.
The Executive Assistant operates with discretion, anticipates needs, and works collaboratively across sporting, business, and league stakeholders in a fast-paced professional soccer environment.
Key Responsibilities:
- Serve as the primary administrative partner to the Sporting Director, managing calendar, travel, meetings, and day-to-day logistics across domestic and international commitments.
- Coordinate scheduling and preparation for key sporting milestones, including transfer windows, roster compliance deadlines, league submissions, and internal planning meetings.
- Support the Sporting Director by tracking action items, priorities, and follow-ups across the technical staff and cross-functional partners.
- Prepare and organize materials for meetings, presentations, and league communications, ensuring accuracy, timeliness, and confidentiality.
- Manage information flow within the Sporting Department by organizing documents, correspondence, and updates related to player movement, contracts, scouting, and performance operations.
- Act as a liaison between the Sporting Director and internal departments to facilitate smooth coordination on sporting initiatives.
- Assist with planning and logistics for sporting-related events, travel, and special projects as assigned.
- Support onboarding and offboarding processes for sporting staff as needed, in coordination with HR.
- Maintain a high level of discretion when handling sensitive sporting, personnel, and competitive information.
- Perform other related duties as assigned in support of the Sporting Department.

Qualifications:
Education
Bachelor's degree preferred, but not required.
Experience
Three (3) or more years of experience providing executive-level administrative or operational support, preferably in professional sports, athletics, or a fast-paced organization.
Technical Skills
Proficiency with Microsoft Office and common collaboration tools.
Knowledge, Skills, and Abilities
- Strong understanding of professional sports or willingness to quickly learn the structure, rhythm, and priorities of a soccer sporting department.
- Ability to handle highly confidential information with discretion and sound judgment.
- Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and shifting schedules.
- Proactive problem-solver who anticipates needs and addresses issues before they escalate.
- Strong written and verbal communication skills, with the ability to interact professionally across all levels of the organization.
- Ability to work independently while remaining closely aligned with the Sporting Director's priorities.

- Willingness to work non-traditional hours, including weekends and matchdays.
