Job Summary GateWay Community College has an exciting new opportunity in our Facilities department for a Facilities Analyst Senior! This role supports college-wide facilities operations with a focus on event services, scheduling, space management, and logistics. The Facilities Analyst Senior oversees campus-wide event planning and coordination and program logistics; supervises maintenance operations technicians to ensure efficient event setup, teardown, and maintenance support; and serves as the primary point of contact for event clients and vendors. This position manages the facilities scheduling system (25Live), event calendars, inventories, and equipment moves, and maintains accurate space data, drawings, and reports. Working collaboratively across departments, this role ensures well-organized, efficient facilities operations that support academic, administrative, and community activities across the college. Essential Functions 30% - Analyzes college-wide event planning and scheduling needs and leads the coordination and delivery of event services. Supervises a team of Maintenance Operations Technicians by planning, assigning, and monitoring daily work related to event setup, teardown, and related maintenance activities. Manages the facilities event calendar and approves internal and external events in accordance with District policies and procedures. Acts as the primary point of contact for event clients and organizers, including after-hours events as required. Coordinates and oversees event-related subcontractors and service providers, including catering, laundry, audiovisual, and technology support. Collaborates with Facilities, Information Technology, Fiscal Services, and other departments to ensure events are staffed, equipped, and executed efficiently and on schedule. Conducts event checks, resolves issues, and provides basic troubleshooting support as needed. Performs program and project research, data analysis, and reporting to support continuous improvement of event services. 30% - (25Live) Scheduling: Administers and serves as subject matter expert for the college's facilities scheduling system (25Live). Manages user access and permissions, maintains accurate system data, and provides training, documentation, and ongoing support to system users. Schedules and coordinates external events and facility use rentals; produces routine and ad hoc reports; and analyzes utilization data to support operational and strategic decision-making. Coordinates room availability impacted by construction and renovation projects and ensures accuracy between scheduling systems, posted room numbers, and campus maps. Develops standardized event setup and technology documentation and oversees the maintenance of construction drawings and records. 15% - Maintains inventories of event-related furniture, fixtures, and equipment (FFE), including space capacities and standard configurations. Supports space planning by updating maps, building plans, and construction drawings for the college and satellite campuses. Coordinates surplus processes by tracking on-site assets and timelines to support internal furniture requests. Ensures accurate documentation of facility assets and space utilization to support operational planning and compliance. 15% - Plans and coordinates equipment moves across all campuses, ensuring safe, efficient, and timely execution. Organizes labor and schedules Maintenance Operations Technicians to support equipment relocation, furniture installation, surplus coordination, and pre-semester inspections. Maintains asset documentation and responds to requests for new or repurposed furniture. Provides support for fleet reservations as assigned. 10% - Performs additional duties as assigned in support of facilities programs, research, planning, and operational needs consistent with the scope and classification of the position. Minimum Qualifications Bachelor's Degree from a regionally accredited institution in any discipline and four (4) years of work experience relevant to the duties described. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications A. Experience in CAD Software B. Experience in event coordination, leading, and/or overseeing event contractors C. Experience in managing and executing facility rental contracts D. Experience with supervising a team of five (5) or more individuals E. Experience managing event planning and scheduling, preferably in higher education or the public sector F. 1 year full-time relevant MCCCD experience during the previous two years (internal candidates ONLY) Special Working Conditions
