Position Overview

The Site Administrative Assistant is responsible to provide day-to-day administrative support to all department managers, associates and contractors working at the Springfield site. This position works as a liaison between site associates and/or departments and other Hexion support services.

Job Responsibilities

  • Provides Administrative support to the Springfield EH&S team

    • Provides administrative support using a high degree of autonomy and considerable judgement when provided with highly confidential and sensitive information
    • Handle recurring situations and initiates independent action on assigned projects including coordinating events and/or meetings, schedules, presentations, reporting, invoicing, other administrative duties
    • Assists with department/site-wide announcements or mailings (public and confidential), includes sorting and distribution details.
    • Maintains new associate/contractor safety orientation database & uploads tests to electronic file
    • Booking appointments for pre-employment, training or EHS items
    • Provide oversight of the site's document control process as part of the quality management system
    • Collects, logs and files permits
    • Updated SDS manuals as needed, maintains copies for breakroom
    • Perform EHS tasks to include administrative management and additional responsibilities as needed and directed by the site EHS Manager




  • Accounts Payable/Reception

    • Scans and logs Compliance Calendar documents to electronic files
    • Maintain office & breakroom supply inventory
    • Create flowcharts, templates, spreadsheets - upon request of managers/supervisors
    • Runs budget analysis reports & updates spreadsheet
    • Arranges meeting and event reservations/meals
    • Helps archive documents based on retention schedule




  • Maintenance/Engineering

    • File and scan WO to SAP
    • Scans & uploads documents/manuals/drawings to work orders in SAP





Organizational Relationships


Coordinates duties with other Site Administrator. Works closely with:



  • Production Supervisors
  • Production Superintendent
  • Maintenance Manager
  • Shipping Supervisor
  • Site Personnel
  • Regional Personnel

Qualifications & Experience

Essential Qualifications & Experience



  • Experience in a manufacturing/industrial environment is helpful
  • Experience with SAP and other computer programs
  • Ability to work in Excel and expertise in Microsoft Office applications



Education



  • Possess a High School diploma or equivalent
  • Knowledge of SAP and Microsoft applications



Special Skills or Requirements



  • Excellent interpersonal with team skills and comfortable working with people
  • Able to communicate effectively in oral and written English
  • Able to work independently and possess effective time management skills
  • Possess Windows based computer skills with strengths in Excel, Word and PowerPoint
  • Strong organizational skills and detail oriented
