Job Description
The College of Arts & Sciences Dean's Office seeks an enthusiastic, detail-oriented Office Coordinator to provide essential support to theDean, Associate Deans, Business Manager and the College. Requires strong attention to detail, ability to manage multiple projects both working with a team and independently, and a helpful, positive outlook on assisting internal and external constituents. Position reports to the Business Manager for the College but also works closely with the Dean and Associate Deans. Key Responsibilities
- Performs high-level supervision of Dean's Office, acting as a "gatekeeper" and ensuring efficient office flow and managing both internal and external relationships on behalf of the Dean and Business Manager
- Works in close partnership with leadership in the Office of Academic Advising to ensure Advising office is fully staffed; position provides coverage for the co-located Advising front desk equivalent to one day per week and will be trained in the skills necessary to answer student questions by phone, virtually or in-person
- Provides a bridge for smooth communication between the Dean's Office, the college and other University units; demonstrates leadership to maintain credibility, trust and support among colleagues and constituents
- Acts as a source of information and support for the Dean, Associate Deans, Advisors and college staff; assists in the interpretation of the University and/or College policies, practices and procedures
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Dean and Business Manager, including those of a sensitive or confidential nature; determines appropriate course of action, referral, or response in consultation with the Dean and Business Manager
- Performs approval for all purchases less than $1,000 in the college, ensuring adherence to policy, procedure and budget and liaising with department staff and Finance Shared Services to resolve questions or make revisions
- Works with departments to review regular reports or requests for data, collects and compiles responses
- Assists with monthly budget reports for the college, investigates questions that arise
- Acts as a mentor to new Office Support Staff, providing training and guidance related to procurement; position acts as a floater in the college, and may fill in for office or business support roles as needed
- Manages college website, liaising with Dean, Associate Deans and Departments as needed
- Schedules and organizes events, meeting facilities, equipment, and meals as requested
- Researches, prepares and writes material for projects undertaken by the Dean(s) and Business Manager
- Prepare and/or process purchase and supply orders/requisitions, contracts and maintain equipment/supply inventory
- Other duties as assigned

Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and 1 year of experience from which comparable knowledge and skills can be acquired is necessary
Anticipated Hiring Range
