JOB PURPOSE/ SUMMARY:
Reporting directly to the President, the Business Manager is a high trust partner who supports the President and the leadership team by actively participating in key meetings, strengthening internal alignment, and representing the organization with professionalism. This role supports the President in aligning processes, systems, and culture to support leadership's strategic initiatives, priorities and organizational effectiveness. This role is both a listener and a contributor, able to integrate into discussions, offer insights, exercise independent judgement to identify risks, themes, and leadership priorities, to help guide decisions, and to ensure clarity in communication and follow through.
The Business Manager develops highquality meeting minutes, summaries, presentations, talking points, and written materials that reflect organizational priorities and leadership direction, partnering with all departments as needed to ensure alignment with company messaging and voice. This role builds strong relationships with diverse stakeholders, understands Young Brothers' operations and mission, and can communicate knowledgeably about the company in community settings when needed.
This position enhances executive effectiveness by improving communication, strengthening relationships, and supporting informed decisionmaking, while working closely with key functions across the organization. Although highly integrated with leadership, the role does not replace or assume functional leadership responsibilities.
ESSENTIAL FUNCTIONS
EXECUTIVE REPRESENTATION & LEADERSHIP INTEGRATION
* This role does not hold decision-making authority unless explicitly delegated.
* Attend internal and external meetings on behalf of the President, executives, or directors as an active listener, contributor, and relationship builder.
* Integrate into discussions to provide informed observations, identify risks, clarify points, and help guide conversations toward productive decisions.
* Build and sustain strong, positive relationships with community leaders, business partners, industry stakeholders, and government officials.
* Represent Young Brothers with professionalism, understanding, and accuracy, including speaking about the business in community or industry settings when appropriate.
EXECUTIVE-LEVEL SYNTHESIS & COMMUNICATIONS SUPPORT
* Capture key themes, insights, decisions, and next steps from meetings; prepare accurate and structured meeting minutes, notes, and summaries.
* Translate complex, cross functional conversations into clear, concise, and actionable insights for the President, executives, and directors.
* Prepare high quality PowerPoint presentations, leadership updates, talking points, written briefs, and other materials as needed.
* Partner with all departments to ensure materials prepared for leadership are aligned with company messaging, voice, and strategic direction.
INTERNAL ALIGNMENT & ORGANIZATIONAL AWARENESS
* Actively track discussions and movement across the leadership team to anticipate needs, identify alignment gaps, and surface cross departmental dependencies.
* Support the President and executives by providing context, insights, and recommended areas of focus based on meeting observations and engagement patterns.
* Assist with preparing materials for the independent Board of Directors, ensuring clarity, professionalism, and strategic relevance.
EXTERNAL ENGAGEMENT (NON-REGULATORY)
* Participate in external engagements as a representative of the President and leadership team; listen, synthesize, and share insights with executives.
* Maintain awareness of statewide community interests, industry dynamics, partner relationships, and public sentiment to inform leadership discussions.
* Provide summaries of external engagements without engaging in regulatory testimony, policy strategy, or advocacy functions.
EXECUTIVE OFFICE COORDINATION
* Support preparation for key meetings by gathering background information and creating succinct briefing materials.
* Maintain confidentiality, sound judgment, and professionalism at all times.
* Strengthen executive operational rhythm through improved preparation, follow through, and communication processes.
* Support meeting logistics for Board of Directors.
* This is a confidential position with access to sensitive business, personnel, and strategic information.
KNOWLEDGE & SKILLS
* Exceptional listening and synthesis skills; able to identify themes, intents, and nuances in complex discussions.
* Strong communicator with the ability to produce executive ready materials (minutes, summaries, decks, briefs, talking points).
* High level of interpersonal maturity and professionalism; able to build trust across leadership levels and external partners.
* Ability to build and maintain professional relationships across diverse communities and stakeholders.
* Business acumen and ability to understand and articulate company operations, priorities, and strategic direction.
* Highly organized with strong attention to detail and ability to manage multiple priorities.
* Advanced proficiency in Microsoft PowerPoint and Word; strong writing and document development capabilities.
* Accountable for managing timeliness of executive materials, quality of actionable insights, and effectiveness of meeting follow-through.
MINIMUM QUALIFICATIONS
* Bachelor's degree in Business, Public Administration, Communications, or related field; Master's degree preferred.
* 7+ years of relevant experience in executive or board support, stakeholder or investor relations, organizational leadership support, or similar fields.
* Experience preparing materials for executive audiences, boards, government or community leaders.
* Proven ability to represent an organization or senior leader in professional settings.
* Demonstrated experience building strong external relationships across diverse stakeholder groups.
* Background from a major consulting firm an advantage.
WORKING CONDITIONS
Work is primarily performed in a professional office environment with frequent onsite and offsite meetings. Occasional evening or weekend availability may be required to support executive or community-related engagements. Travel may be required. Regular and predictable attendance is a requirement.
The employee is frequently required to sit; use hands or fingers; handle or feel; talk and hear. The employee is occasionally required to stand, walk, and reach with hands and arms. Light lifting of up to 25 pounds may be required. Must be able to maintain attention to detail and focus during extended periods of analysis or document preparation
