Position Overview
The Business Manager serves as the financial administrative officer for the School of Pharmacy reporting to the Dean. The business manager has the responsibility for the financial reporting, financial analysis, budgeting, and preparation and review of the organizational budget for the School and serves as the fiscal liaison between the School and other University financial offices. This position is also the principal adviser to the Dean on all budget and financial matters and works with the Dean on developing strategic planning that further the goals of the schools in relation to the University as a whole. The manager also supports budget preparation of grant or contract applications. This position plays a key role in developing strategic financial plans for budgeting, cash management, forecasting, risk management, and financial analysis. This position is full-time, 8-5pm, Monday - Friday and will require an on-campus presence for collaboration.

Job Description
60% - Budget/Planning:
  • Provides financial analysis, operational insights, and strategy recommendations to support the deans, department chairs, directors, and programs to ensure resource allocations are directed toward strategic initiatives of the school.
  • Responsible for cash management and forecasting of all funds available to the School of Pharmacy.
  • Prepares and develops the annual operating budgets, analysis of carry forwards and reserve balances, and an all-funds budget model.
  • Manages annual budget requests from internal units, summarize requests for the Deans, and distributes approved budgets to units.
  • Assists the school with developing the summer schools' budget and analyzes various profit/loss scenarios.
  • Develops and provides lecturer budget for both schools and provides GTA budget.
  • Coordinates funding for all appointments in the School including faculty, students, and staff.
  • Manages overload actions and adjustments to accommodate change in pay.
  • Manages the summer payroll appointments and other commitments of Professors, Lecturers, GTAs and student assistants who are appointed for the summer.
  • Provides financial analysis, advice, and assistance on special projects.
  • Forecasts impact of activities for which are determinates of future budget allocation.
  • Serves as an expert adviser to the dean on budget matters.
  • Represents the school at budget and finance-related meetings when needed.
25% - Audit/Reconciliation/Reporting/Service Coordination:
  • Reviews and authorize state and private payments to verify appropriate funding sources are used and that funds are not overspent or underspent.
  • Monitors and adjusts fund balances as necessary.
  • Ensures the school is following financial State and University policies and procedures. Audits financial activities, payroll processes, and internal controls to verify Schools are following state and/or endowment policies and procedures. Serves as key contact for all University audits.
  • Audits faculty, staff and student hourly appointments submitted to KU Human Resources to ensure budgetary authorization have been received and payroll appointments are submitted accurately.
15% - Policy/Procedures/Other:
  • Establishes and maintains financial internal control systems and serves as the lead for any internal audit procedures.
  • Consults with KU's Budget Office, Comptroller Office, and other units on funding and policy issues.
  • Works with dean to develop, document, implement, and maintain financial policies and procedures internal to the School of Pharmacy.
  • Other duties as assigned.

Required Qualifications
  1. Bachelor's degree in accounting, finance, or a related field and three years of related financial experience or Associate's degree and 5 years of related experience or High School diploma and seven years of related financial experience.
  2. Two years of management, supervisory experience and/or project team leadership.
  3. One year of experience in developing and administering budgets as demonstrated by work history.
  4. Excellent analysis and problem-solving skills, as demonstrated by work history.
  5. Experience in data projection, data analysis, and data reporting as demonstrated by work history.
  6. Excellent written communication skills as demonstrated by application materials, as well as excellent verbal communication skills as demonstrated by work history.

Preferred Qualifications
  1. Master's degree in accounting, finance, business administration, or related field.
  2. Two years of experience in developing and administering budgets as demonstrated by work history.
  3. Experience in developing and using financial models, forecasting tools, and predictive analytics as demonstrated by work history.
  4. Experience with KU budget and reporting systems as demonstrated by work history.
  5. Demonstrated knowledge of KU business operations, policies, procedures, and fiscal processes as evidenced by work history.
  6. Demonstrated experience working collaboratively with others such as students, staff, faculty, administrators and other members of a post-secondary educational institution as evidenced by work history.
