Duke University Health System-Duke Primary Care-Durham N.C. seeks to hire an Administrative Coordinator who will embrace our mission ofAdvancing Health Together.

Job Summary:

The Administrative Coordinator (Provider Onboarding Specialist) onboards APP's and physicians for Duke Primary Care. The position requires diplomacy, attention to details, and the ability to succeed by providing timely service in a highly matrixed environment with competing deadlines and complex tasks. Healthcare regulatory/licensing knowledge is an advantage in this position. The coordinator partners with the director, colleagues, department contacts, and other stakeholders to assist with the growth of programs and projects for highly efficient onboarding and offboarding processes that successfully relocates, orients, and integrates new providers into the practice, hospital system and broader community of Duke Health.

8am - 5pm Monday to Friday(Hybrid)

Administrative Duties:



  • Identify essential tasks and stakeholders involved in the onboarding and offboarding of Advanced Practice Providers and Physicians, including credentialing, third-party enrollment, marketing, IT, practice management, and benefits. Communicate changes in start dates or anticipated issues and present collaborative solutions to colleagues and leadership.
  • Establish effective working relationships with internal customers, organizational leaders, and onboarding stakeholders to coordinate onboarding activities. Serve as a liaison and build relationships with newly hired clinical providers, familiarizing them with the organization, mission/values, benefits, contacts, and Duke resources.
  • Exhibit a welcoming, customer service focused attitude in all interactions with Duke internal and external clients. Perform periodic "check ins" with new Advanced Practice Providers and Physicians throughout their onboarding process to ensure they are familiar with Duke, their sites, processes, and timelines. Ensure director and leadership are aware of hurdles.
  • Seek innovative ideas and best practices in onboarding and collaborate with management to ensure onboarding resources remain current, including forms, websites, and departmental materials.
  • Complete monthly onboarding activity reports for assigned providers and assist with other departmental reporting as needed.
  • Assist with planning and managing the on-site monthly New Clinician Orientation.
  • Offboard departing clinicians inclusive of terminating privileges with MSO, terminating PRMO, facilitate patient letter notification, work with HR to ensure any additional pay is issued prior to terminating clinician in iForms.
  • Assist with facilitating FPPE process ensuring appropriate information is completed and signatures received prior to sending back to MSO.


Knowledge, Skills, and Abilities:



  • Knowledge of Duke Primary Care and/or familiarity with Duke Health entities
  • Onboarding experience/exposure
  • Healthcare project management and/or healthcare onboarding experience preferred
  • Database management or user experience
  • Recruitment/sales/PR or other experience with internal/external customers and project management
  • Offboarding experience or exposure
  • Experience with multi-tasking of detailed work and low/no error rates
  • Work experience in a highly matrixed environment



Education Requirements/Preferences

Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities. A master's degree in a business related field may be substituted for 2 years experience. OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
