A growing organization is seeking an Accounts Payable Analyst to support invoice processing, vendor management, and payment activities across multiple business entities. This role focuses on maintaining accurate financial records, ensuring timely payments, and supporting internal controls within the accounts payable function. The ideal candidate is detail-oriented, comfortable working in ERP systems, and able to identify opportunities to streamline processes in a fast-paced finance environment.
Responsibilities
  • Process and code vendor invoices accurately, including appropriate general ledger classifications and identification of prepaid expenses or capital items.
  • Prepare and assist with weekly payment runs while reviewing transactions to ensure accuracy and minimize payment errors.
  • Monitor and manage the accounts payable inbox, responding to internal and external inquiries and resolving invoice or payment issues promptly.
  • Maintain adherence to accounting period deadlines and internal financial control procedures.
  • Request and maintain vendor documentation, including W-9 forms, and ensure vendor records are accurate within the company's ERP system.
  • Assist with year-end vendor reporting requirements, including preparation and distribution of 1099 forms.
  • Verify vendor banking details as part of standard payment security procedures.
  • Review and process employee expense reports through the expense management system to ensure compliance with company policies.
  • Create and maintain documentation for accounts payable procedures related to items such as credits, refunds, and overpayments.
  • Identify opportunities to improve workflows and contribute to process enhancements that increase efficiency and accuracy within the AP function.
  • Provide additional accounting or administrative support as needed.
Qualifications
  • Bachelor's degree in Accounting, Finance, Business Administration is required.
  • Approximately 3-5 years of experience in accounts payable or a similar accounting function, ideally within a multi-entity organization.
  • Experience working with ERP systems such as NetSuite, AS400, or comparable platforms.
  • Familiarity with expense management tools such as Concur or similar systems is a plus.
  • Strong Excel skills, including the ability to work with spreadsheets, perform lookups, and reconcile data.
  • Understanding of general accounting practices, including accruals, prepaids, and financial control procedures.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines in a dynamic work environment.
