This position will work a hybrid schedule which includes a combination of working both onsite at Campus and remote.

DESCRIPTION

UC San Diego Department of Neurological Surgery is among the leading neurosurgical centers in the country. Under general supervision, the Administrative and Special Projects Coordinator provide administrative support to faculty in the Department of Neurological Surgery in their administrative, teaching, research, and services activities. Responsibilities include coordinating and executing projects, independently composing correspondence, managing complex appointment calendar and travel arrangements, coordinating meetings and special events, and serving as liaison with constituents on the behalf of Department faculty.

Processing payment authorizations, purchase orders, and travel reimbursements using online system(s). Maintaining academic files, promotion tracking, CVs, timesheets, and credentialing. Other project as assigned.

Provide support for Academic Programs and Special Projects. Performs other administrative tasks as required and needed.

MINIMUM QUALIFICATIONS
  • Ability to work independently or as part of a team as necessary.

  • Demonstrated skill with setting up and maintaining filing systems for rapid and easy material retrieval.

  • Fast and accurate transcription/typing/word processing skills.

  • Strong problem-solving and analytical skills.

  • Demonstrated ability to make appropriate decisions and maintain strict confidentiality.

  • Demonstrated ability to communicate clearly and effectively both orally and in written form.

  • Demonstrated proficiency in various business software packages, such as word processing, spreadsheets, presentation programs and database software.

  • Demonstrated accurate proofreading and editing skills with knowledge of proper formats.

  • Experience working in a medical/research setting.

  • Experience with Microsoft Word, Excel, PowerPoint, Outlook and other standard office programs.

  • Excellent interpersonal, as well as written and oral communication skills (using grammatically correct written English and accurate typing) to effectively interact with stakeholders at all levels of the organization, exercising tact, mature judgment, diplomacy, and flexibility to promote positive working relationships and job effectiveness. Excellent interpersonal skills in order to request information from and to provide information to various sources, and to negotiate solutions to issues that are compatible with policies, regulations and the requirements of various parties. Demonstrated ability to exercise judgment, tact, and firmness in interaction with faculty, students, staff, and others.

  • Proven ability to develop, analyze, and carry out program and project objectives and work with others in achieving organizational goals. Ability to research, gather and organize information to produce concise reports using various resources.

PREFERRED QUALIFICATIONS
  • Demonstrated knowledge of UC policies and procedures.

  • Knowledge of medical terminology.

SPECIAL CONDITIONS
  • Must be willing to work occasional overtime as required.

  • Must have access to reliable transportation.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
