Description

The Office of the Queens County District Attorney (QDA) is seeking applicants for an Administrative Assistant position to help support QDA's Special Victim's Bureau, which is part of QDA's Special Prosecutions Divisions (SPD).

The Administrative Assistant will report to the Bureau's management staff and will be responsible for a variety of duties including, but not limited to:


1. Answering telephone calls, emails, and in-person inquiries from members of the public, victims, complainants, police officers and other Queens DA staff.

2. Communicating with callers to determine where calls should be routed and/or taking complete and accurate messages for supervisors, ADAs and others.

3. Making regular runs between the Special Victims Bureau's and Intake Bureau in varying weather conditions to pick up case files and/or other documents.

4. Greeting and screening visitors, many of whom are victims of sexual violence, violence against the elderly, or violence against children; identifying and notifying appropriate Assistant District Attorney (ADA) or other staff.

5. Logging in and assigning new cases to ADAs using the Case Tracking System.

6. Utilizing the Case Tracking System to obtain copies of orders of protection as requested by victims.

7. Preparing, updating, maintaining, daily, and weekly calendars for the Bureau.

8. Monitoring and maintaining Bureau spreadsheets and documents.

9. Supporting the administrative functions of the Bureau.

10. Managing, monitoring, and distributing the Bureau's email and regular mail.

11. Organizing, tracking, and ordering supplies and equipment.

12. Coordinating with partner agencies and internal victim's services organizations as needed.

13. Ensuring that ADA's, TPA's and Bureau management can be reached if needed by monitoring their out of office obligations.

14. Assisting the bureau management team as needed.

Preferred Education and Qualification Requirements:

Qualified candidates must have at least a high school diploma (or its educational equivalent). Candidates must have strong computer skills and be familiar with Microsoft Word, Excel, Outlook, and online meeting platforms. The candidate should also have excellent time management skills, the ability to multi-task and a strong attention to detail.

Applicants must be able to regularly work Monday through Friday, 9 a.m. to 5 p.m.

Strong preference will be given to candidates with a Bachelor's degree, prior clerical experience, including experience with data entry into computerized systems and handling documents of sensitive nature (filing, delivering, scanning, etc.). Experience liaising with other agencies and/or interacting directly with crime victims is highly desirable. Fluency in a second language is a plus.
