I. JOB OVERVIEW






Job Description Summary:
The Program on Extremism at the George Washington University's mission is to examine the root causes of extremism, its impact on global security, and strategies to prevent radicalization. Through research, training, and policy development, the Program remains at the forefront of efforts to address the multifaceted challenges posed by both violent and non-violent extremism, contributing to a safer world through meaningful dialogue and evidence-based analysis. Its four core areas of focus are Islamism, Global Jihadism, Antisemitism, and Domestic Extremism.

This role is responsible for managing financial administrative tasks, coordinating with domestic and international vendors and contractors, processing personnel reimbursements, and overseeing general office operations to ensure smooth and efficient business functioning.

Key Responsibilities
Financial & Contract Administration

  • Process and track contract payments accurately and in a timely manner
  • Coordinate payments for both domestic and international vendors and contractors
  • Monitor payment schedules and follow up on outstanding invoices
  • Coordinate with accounting and leadership regarding approvals and compliance requirements


Vendor & Contractor Management

  • Complete and submit vendor and contractor registration forms (domestic and international)
  • Maintain up-to-date vendor and contractor records, including tax and compliance documentation
  • Serve as the administrative point of contact for vendor and contractor inquiries
  • Ensure proper documentation for onboarding and payment processing

Personnel Expense Reimbursement

  • Review, verify, and process employee expense reimbursement requests
  • Ensure compliance with GW policies
  • Maintain accurate expense records and supporting documentation

Meeting & Event Coordination

  • Book meeting rooms and event spaces (internal and external venues as needed)
  • Coordinate scheduling logistics for meetings and small events
  • Arrange required materials, supplies, and equipment
  • Liaise with venues and service providers regarding availability, setup, and invoicing

Office Operations & Supplies

  • Monitor and manage office supply inventory
  • Order and restock supplies as needed
  • Support day-to-day operational needs to ensure an efficient office environment

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
Preferred Qualifications:

  • Proficiency in utilizing Microsoft Office, Adobe Acrobat, Google Workspace, and similar operating systems is a plus.
  • Ability to be agile, skilled in prioritizing multiple assignments, and applying project management skills to meet deadlines is desired.
  • Ability to coordinate and organize conferences, symposia, meetings, and other special events is a plus.
  • Ability to interact with faculty, students, and staff in a team environment.
  • Ability to communicate both orally and in writing to a diverse audience.
  • Skilled in utilizing tact and discretion in sensitive matters.
  • Familiarity with Concur is preferred.
  • Previous experience in office management, administrative support, bookkeeping, or financial coordination is desired.
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Ability to work independently and manage multiple priorities
  • Strong communication skills

Hiring Range $21.27 - $27.63
