About the Job: Identify, plan, and direct Meetings division administration processes and projects via committees and individual efforts. Oversee communication and print materials for all meetings. Independently analyze current operations and identify efficiencies when managing the divisional budget. Manage Meetings support team to include six coordinators and seasonal temporary staff. Act as back-up for Meeting Planners. What You'll Do: Coordination of Meeting Administration Processes
Oversees the operational planning and execution of meeting registration, speaker coordination, travel, and all other administration aspects of creating a successful meeting. Acts as hotel liaison/housing coordinator for web access reservations systems, key cards, and MP/MD room reservations. Oversees communication touch-points with meeting attendees. Includes the planning, design, writing, and final publication via e-brochures, html emails, bulletins, and LINKnet/MutualNet meeting sites. Develops and delivers print materials for all meetings from design inception to the final product. Includes program books, program-at-a-glance, menu cards, signage, posters, maps and tickets. Requires knowledge of Visual Design software. Acts as Assistant Race Director for Annual Meeting's Roots Wings event which includes the procurement of supplies (i.e. race chips, participant numbers, awards) and equipment (i.e. golf carts, road blocks), design and vendor selection of race T-shirts, coordination of volunteer chair and/or volunteers, and direction of on-site set-up.
Coordination of Division Projects Process Improvements
Evaluates and selects potential development and enhancements for new and/or existing systems and processes. Challenges the appropriateness of current processes and defines benefits to improving the processes. Provides recommendations for solutions to include, but not limited to, management reporting, decision support, and/or small applications. Plans, directs, and coordinates complex divisional and cross-department projects in order to maximize efficiencies and maintain a high level of customer service to Meetings customers in the Field and Home Office. These projects include the development of standardized processes for Meetings systems enhancements (e.g. Online Registration, Company Show Ticket System), onsite Meeting registration processes, presentation approval process, and consistent communications. Takes part in the negotiation and communications with IS Department, vendors, field and senior management to build consensus, sell ideas, and influence change. Management of Staff Manages support staff of 6+ coordinators. Effectively selects, retains, coaches, and develops staff. Monitors need for temporary help and manages temporary staff as needed. Division Budget Prepares, recommends, and manages the division general budget of $8M+. Monitors and manages the special Meetings budget of $1M+. Acts as a back-up for Meeting Planners Acts as Home Office point of contact/trouble-shooter when Meeting Planners are traveling. Includes issues regarding travel, equipment, hotel, etc.
What Experience You'll Bring:
Bachelor's degree required in business administration, communications, or organizational development or equivalent experience of five years of progressively responsible management work experience leading department/division administration projects and processes. Seven years of experience/knowledge of meeting administration with some of those years at NM to become familiar with the culture, Field and Company systems and operations. Proven management skills including negotiating, leadership, delegation, planning, and organization. Demonstrated commitment to continuous improvement of customer service and support. Superior written and oral communication skills required with the ability to positively influence, work cooperatively, and negotiate with all levels of employees and the field Leads and manages teams to be flexible and able to respond to change in a fast-paced environment. Responsible for a full range of human resources responsibilities including communication; coaching and staff development; performance management; salary administration and staffing. Proven ability to be responsive to changing business needs, manage and prioritize concurrent assignments, and handle ambiguity.
