The Administrative Assistant, Division Operations, provides high-level administrative and operational support to CDC Division leadership, including executive scheduling, travel coordination, meeting management, and division-wide asset and facility support. This role serves as a central coordination point for leadership operations, data calls, conference tracking, and property accountability in a fast-paced federal environment. This position supports a government contract and is restricted to U.S. citizens or legal permanent residents. Documentation is required. This is a mission-critical role that requires independent judgment, discretion, and the ability to resolve issues in real time while supporting senior leadership. Administrative Assistant, Division Operations Responsibilities Include: Executive & Administrative Support * Manage leadership calendars, resolve scheduling conflicts, and coordinate high-level meetings * Prepare daily and weekly calendar briefings for Division leadership * Coordinate Senior Leadership Team (SLT) meetings, agendas, and follow-ups * Track and manage division-wide data calls and reporting requests * Support document routing, updates, and SharePoint/Teams coordination Travel & Meeting Coordination * Coordinate domestic and international travel logistics, approvals, and documentation * Support conference tracking, planning, and attendance requests * Prepare travel documentation, including risk assessments and supporting materials Asset & Facility Management * Maintain and track property records in PMIS * Coordinate office space assignments and facility requests * Manage inventory, equipment tracking, and property transfers * Support annual inventory and property accountability requirements * Submit and track procurement requests via CCPS Conference & Division Operations * Track division conference participation and manage submission processes * Coordinate conference announcements and attendance workflows * Assist with exemption memos and approval documentation Administrative Assistant, Division Operations Experience, Education, Skills, Abilities requested: * Associate's degree required; Bachelor's preferred * 3-5 years of administrative support experience (federal preferred) * Experience supporting senior leadership in a fast-paced environment * Familiarity with federal systems (PMIS, CCPS, Teams, SharePoint) * Strong organizational, problem-solving, and communication skills. Hands-on experience with federal systems, including: * ConcurGov * Global Travel System (GTS) * CCPS or government purchase card systems * UDO tracking or financial reconciliation * Vendor Supplied Training System (VSTS) * Strong ability to manage multiple priorities, deadlines, and urgent requests * Ability to work independently and resolve problems without constant supervision * Excellent written and verbal communication skills * Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) * Must pass pre-employment qualifications of Cherokee Federal Company Information: Cherokee Nation Integrated Health (CNIH) is a part of Cherokee Federal - the division of tribally owned federal contracting companies owned by Cherokee Nation Businesses.
