The Role

We're looking for a Senior Administrative Assistant who treats executive support as a craft. You'll be the operational anchor for two senior leaders in Adobe's Firefly Foundry - a high-growth, GenAI-powered product area at the forefront of creative technology.

Your executives lead cross-functional organizations with heavy inbound demand from engineering, design, marketing, sales, and customer stakeholders. You'll manage complex calendars, make real-time prioritization calls without being asked, and keep your leaders focused and on track through shifting priorities.

What you'll do:

  • Provide administrative support to the Sr. Director(s) of AI Platform and Foundry
  • Extensive scheduling and calendar coordination (Outlook)
  • Coordinate travel arrangements, domestic & int'l
  • Filter and manage requests for internal & external commitments
  • Coordinate special projects including team off-sites, team building activities and all hands meetings
  • Managing team access to shared databases, handling purchase orders
  • Creating and editing agendas, reports, and other documents to support organizational objectives.
  • Submit and maintain expense reports
  • Manage staff meeting agendas as well as attend and capture key outcomes and actions
  • Regularly collaborate with cross-functional Administrative & Executive Assistants
  • Look for opportunities to streamline efforts and improve processes
  • Ability to handle frequent interruptions or changes in priorities while remaining flexible and calm under pressure

What you need to succeed

  • 5+ years of experience in coordination, administrative, or operations capacity
  • Experience interacting with customers and staff at all levels in a fast-paced, high-pressured environment, with a high level of professionalism and confidentiality
  • Expert knowledge of computer technology, including MS Office (Outlook, Word, Excel, PowerPoint, and Teams), Slack, and familiarity with Concur or other expense-reporting software
  • Demonstrated ability to quickly turn around projects with polish and accuracy
  • Extremely organized with ability to juggle multiple/complex demands in a fast-paced environment
  • Work effectively with minimal direction, take initiative, and follow through
  • Proven ability to assess and prioritize conflicting demands
  • Must handle confidential information with integrity and exercise discretion
  • Highly organized with strong communication and writing skills
  • Eagerness to network with other Executive Assistants at Adobe and cooperate as a worldwide team
  • Ability to work well with all levels of management, staff, and outside contact
  • Ability to work regularly onsite at the Adobe San Jose location required
  • Flexibility to work outside normal business hours as dictated by business needs

Expected Pay Range:

Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this positionis $75,800 -- $157,650 annually. Paywithin this range varies by work locationand may also depend on job-related knowledge, skills,and experience. Your recruiter can share more about the specific salary range for the job location during the hiring process.
In California, the pay range for this position is $108,900 - $157,650

At Adobe, for sales roles starting salaries are expressed as total target compensation (TTC = base + commission), and short-term incentives are in the form of sales commission plans. Non-sales roles starting salaries are expressed as base salary and short-term incentives are in the form of the Annual Incentive Plan (AIP).

In addition, certain roles may be eligible for long-term incentives in the form of a new hire equity award.
