Overview

The Administrative Aide will report to the Manager of the Solid Mechanics department, and will directly support the Engineering staff. Responsibilities will include:

    Frequent and close interaction, and communication with all levels of department Management and Engineering personnel
  • Preparing (typing, formatting, editing, issuing, copying) various documents (letters, memorandum, transmittals, conference reports, etc.)
  • Filing calculations, reports and other department documents and records
  • Opening and closing commitments
  • Scheduling meetings and reserving conference rooms
  • Completing IT requests for new employee computer hardware
  • Handling desk phone requests
  • Updating People-Soft database
  • Updating department organization chart
  • Preparing visit requests
  • Preparing travel arrangements
  • Preparing expense reports
  • Preparing non-technical spreadsheets
  • Maintaining and ordering office and copier supplies
  • Monitoring and changing copier toner cartridges
  • Handling Iron Mountain storage and retrieval requests
  • Facilitate Cornerstone training requests
  • Maintaining fire evacuation checklists
  • Other general office duties


Qualifications

Required:

  • High School diploma or equivalent
  • Candidate must demonstrate error-free word processing capabilities (45 wpm minimum)
  • 2-5 years of professional administrative experience in a office setting

Preferred:

  • Relatable post-secondary education
  • 5 years of professional administrative experience in a office setting


Skills

  • Strong and competent working ability with Microsoft Office/365 software - Word, Excel, PowerPoint, TEAMS, and ability to learn other common business software as needed
  • Strong written and verbal communication skills
  • Strong organizational skills
  • Strong ability to multi-task, and to prioritize tasks to maintain office workflow
