Job Summary and Responsibilities

Job Summary

The Administrative Assistant provides comprehensive administrative and operational support to individuals, teams, or departments within the organization. This role is responsible for coordinating day-to-day activities, managing data and documentation, supporting claims-related processes, and ensuring efficient communication across stakeholders. The ideal candidate is a highly organized, detail-oriented professional who thrives in a fast-paced, collaborative environment. This individual manages multiple priorities seamlessly while exercising sound judgment and upholding the highest standards of professionalism and confidentiality.

Job Responsibilities

  • Provide administrative support, including scheduling meetings, preparing agendas and meeting minutes, and assisting with presentations as needed.
  • Maintain and organize files, databases, and records to ensure accuracy along with validating invoices.
  • Format and distribute reports, presentations, and communications.
  • Prepare quality audits within the Excel speadsheets.
  • Ensure accuracy and completeness of all data entry and documentation.
  • Enter new claims into the tracking system, ensuring accurate input of demographic, provider, and claim details.
  • Monitor and manage claims throughout the review process, tracking status and ensuring timely progression.
  • Investigate, resolve, or escalate claim-related issues as appropriate.
  • Collaborate with peer reviewers, Medical Directors, and internal teams to support claims processing.
  • Serve as a liaison between internal teams and external stakeholders as needed.
  • Support multiple projects simultaneously, adjusting priorities as needed in a fast-paced environment.
  • Track project-related issues through to resolution and provide updates as needed.
  • Collaborate with team members to balance workload and ensure deadlines are met.
  • Maintain Excel spreadsheets to track and manage workflows and projects.
  • Demonstrate professionalism, strong attention to detail, and effective proofreading skills in all work.
  • Adhere to all corporate policies, including HIPAA Privacy and Security requirements.
  • Maintain reliable internet access and availability during standard business hours to support remote work requirements.

Qualifications

Required Qualifications, Knowledge, and Experience
  • High school diploma required, along with a minimum of 2 years of experience in an administrative assistant role and/or basic project management support. An associate or bachelor's degree is preferred, but not required.
  • Proofreading skills with the ability to review documents for accuracy, clarity, and professionalism..
  • Effective communication and collaboration skills, with the ability to compose clear, grammatically correct, and professional email communications for clients and internal stakeholders.
  • Strong problem-solving and critical-thinking skills, with the ability to exercise sound judgment and discretion in handling day-to-day responsibilities.
  • Proficiency with computer systems and software, including Microsoft Office Suite applications such as Word, Outlook, Excel, PowerPoint, and Teams, as well as intranet platforms and tools such as SharePoint, OneDrive, Lists, and PDF software including Adobe and/or Kofax.
Preferred Qualifications
  • Knowledge of medical terminology preferred.
  • Ability to provide courteous, professional, and service-oriented support to clients and internal team members
  • Ability to identify issues or concerns and communicate them effectively to the appropriate team members and supervisor, as needed.
  • Active listening and strong organizational skills, with a high level of attention to details.
  • Demonstrated ability to work independently with minimal supervision.

Compensation

The compensation for this role ranges from $21.00 to $26.50 per hour.

Based on our compensation program, an applicant's position placement in the pay range will depend on various considerations, such as years of applicable experience and skill level.
