Job Description

The Travel & Expense (T&E) Analyst is responsible for auditing, processing, and reconciling employee travel and expense activity to ensure accuracy, policy compliance, and adherence to accounting requirements. This role serves as a key support resource for the organization's travel and expense platforms-including Workday Finance and Corporate Traveler-while partnering closely with Accounts Payable, Finance, and Procurement to provide timely data, reporting, and issue resolution.

The T&E Analyst delivers exceptional customer service, manages high-volume transactional data with precision, supports employees through the expense submission process, and identifies opportunities to improve efficiency, strengthen internal controls, and enhance the overall travel and expense experience across the organization.

Essential Functions
* Audit & Processing: Review travel and expense submissions (e.g., airfare, lodging, meals, rental cars) for accuracy and compliance with company policies, regulatory requirements, and documentation standards
* System Administration: Maintain user access, troubleshoot issues, and support configuration needs within the expense management system (e.g., Workday Finance, Corporate Traveler)
* Employee Support: Serve as the primary point of contact for employee questions regarding T&E policy, system navigation, submission requirements, and reimbursement timelines
* Reporting & Analysis: Perform monthly audits, generate standard and ad-hoc travel and expense reports, and analyze spending trends or policy exceptions
* Compliance & Controls: Ensure adherence to company travel, procurement, and expense policies, internal control requirements, and regulatory expectations
* Stakeholder Coordination: Partner with internal teams-including Accounts Payable, Accounting, HR, and Procurement-to resolve discrepancies, align processes, and improve the employee experience
* Documentation & Recordkeeping: Maintain accurate and complete records in accordance with audit, regulatory, and retention requirements
* Administrative Support: Assist with related procurement and departmental tasks as needed to support business priorities and process efficiency

Additional Essential Functions
* Ensure compliance with Northwest's policies and procedures, and Federal/State regulations
* Navigate Microsoft Office Software, computer applications, and software specific to the department in order to maximize technology tools and gain efficiency
* Work as part of a team
* Work with on-site equipment

Work Experience
Less than 1 year Experience in accounting, finance, auditing, or expense management
Less than 1 year Proficiency in Microsoft Excel for data tracking, reconciliation, and reporting
Less than 1 year Experience supporting corporate travelers, resolving discrepancies, or working with T&E data
Less than 1 year Experience with Workday, Corporate Traveler, or similar expense/travel management systems

Additional Knowledge, Skills and Abilities
Strong analytical skills with the ability to identify discrepancies, research issues, and collaborate with stakeholders to resolve them
Excellent written and verbal communication skills to support interactions with employees, internal and external partners
High level of accuracy and attention to detail when managing data, validating expenses, and maintaining records
Ability to manage multiple priorities, meet deadlines, and maintain organized documentation in a fast-paced environment
Ability to structure and manage tasks effectively, ensuring accurate and timely processing of travel and expense activities
Proficiency in Microsoft Office Suite and the ability to learn new systems and tools quickly
