Financial & Marketing Operations Analyst (Project Management Focus)
Summary
We are seeking a detail-oriented and highly organized Financial & Marketing Operations Analyst to support marketing teams through financial planning, project management, and operational execution. This role will partner cross-functionally with Marketing, Finance, and Operations teams to manage budgets, track financial performance, and ensure smooth execution of artist and marketing initiatives.
Key Responsibilities
Financial Planning & Analysis
- Provide day-to-day financial support to Marketing teams, including budget tracking and reporting
- Partner with Accounting on monthly financial close activities
- Track, analyze, and report variances against budget and forecasts
- Assist in preparing quarterly forecasts and annual budgets in collaboration with senior leadership
- Maintain and monitor forecasting and planning systems (SAP/Uniport or similar)
- Conduct ad hoc financial analysis related to projects and initiatives
Marketing Budget & Project Management
- Manage the full lifecycle of marketing project administration
- Partner with leadership to establish, track, and optimize project budgets
- Monitor project spend by artist, vendor, and expense type, ensuring alignment with approved budgets
- Reallocate resources as needed in collaboration with stakeholders
- Prepare and present budget analyses and insights to senior management
- Track project timelines and ensure deliverables are met across teams
Vendor & Payment Operations
- Coordinate vendor setup and onboarding, ensuring proper documentation and compliance
- Manage purchase orders, requisitions, and invoice processing
- Partner with Finance and Legal to ensure approvals and compliance requirements are met
- Troubleshoot payment and vendor-related issues
- Maintain accurate records of invoices, approvals, and supporting documentation
Operational & Administrative Support
- Organize and document meetings, including marketing sessions and stakeholder updates
- Develop and maintain project documentation such as timelines, summaries, and reporting materials
- Support ad hoc marketing and accounting projects
- Assist with coordination of travel and logistics as needed
- Identify and implement process improvements to enhance operational efficiency
Project Management
- Provide regular project updates to stakeholders on progress, risks, and changes
- Monitor performance and recommend adjustments to improve outcomes
- Track KPIs and identify opportunities for process and performance improvements
Qualifications
Skills & Abilities
- Strong project management and organizational skills
- Proficiency in Excel, PowerPoint, and ERP systems (SAP/Uniport or similar)
- Ability to manage multiple priorities in a fast-paced environment
- Strong analytical and problem-solving skills
- Excellent communication and interpersonal skills
- Detail-oriented with a process-driven mindset
Experience
- 3-5 years of experience in finance, accounting, operations, or project management
- Experience supporting marketing or cross-functional teams preferred
- Entertainment or media industry experience is a plus
Additional Requirements
- This opportunity is located in Miami Beach, FL and requires on-site work
- The pay for this W-2 position ranges from $25.00 - $28.00 per hour
- This position may be eligible for benefits such as PTO, health insurance, and 401(k), depending on tenure and hours worked
