Job Details

PRIMARY FUNCTION:

Provides on-site scheduling and patient access support within imaging, laboratory, and outpatient service areas. Serves as a key point of contact for patients and clinical teams, ensuring accurate registration and efficient scheduling. Supports coordination of services across departments and locations to promote patient flow, clinical readiness, and operational efficiency.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

* Serves as the first point of contact for patients at imaging, laboratory, and outpatient front desk locations, providing a professional and welcoming experience.

* Performs scheduling and registration functions in a patient-facing environment across multiple service areas.

* Verifies and updates patient demographic, insurance, and clinical information at point of service to ensure accuracy for care delivery and billing.

* Supports coordination of same-day, add-on, and walk-in requests in collaboration with imaging, lab, and clinical teams.

* Supports coordination of services across multiple outpatient locations, working with imaging, laboratory, and clinical teams to ensure timely and accurate scheduling.

* Works directly with technologists, lab staff, providers, and ancillary departments to align scheduling with clinical protocols and resource availability.

* Supports patient flow within and across departments by communicating delays and coordinating with clinical staff.

* Reviews orders to ensure appropriate scheduling based on service type, modality, and clinical requirements.

* Provides patients with preparation instructions and ensures readiness for services, including safety screening when applicable.

* Addresses routine scheduling issues and collaborates with clinical and operational teams when additional coordination is required.

* Identifies and addresses routine scheduling conflicts and registration discrepancies, escalating more complex issues as needed.

* Supports service recovery by addressing patient concerns and escalating issues as appropriate.

* Collects co-pays and communicates financial responsibilities in accordance with organizational guidelines.

* Maintains compliance with HIPAA, regulatory requirements, and departmental policies.

* Utilizes electronic systems (e.g., Epic) to document, schedule, and manage patient encounters accurately.

* Supports departmental goals related to access, throughput, quality, and patient satisfaction.

* Performs additional duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS:

* High School Diploma or equivalent required

* Minimum of 2 years of experience in healthcare scheduling, patient access, or a medical office setting required

* 3 or more years of relevant experience preferred

* Experience with electronic health records (e.g., Epic) strongly preferred

* Experience in a multi-site or hospital-based outpatient setting preferred

* Equivalent combination of education and experience may be considered

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

* Knowledge of outpatient scheduling and registration workflows

* Understanding of imaging, laboratory, and outpatient service operations preferred

* Ability to coordinate across multiple departments in a decentralized environment

* Strong organizational and time management skills

* Ability to manage multiple priorities in a fast-paced, patient-facing setting

* Effective communication and interpersonal skills with a patient-centered approach

* Strong attention to detail and commitment to accuracy

* Ability to identify and address routine scheduling and registration issues, with appropriate escalation of complex situations

* Ability to work both independently and collaboratively within a team

* Demonstrated professionalism, discretion, and ability to maintain confidentiality

SPECIAL REQUIREMENTS:

Flexibility to support varying shifts, including evenings, weekends, or holidays as needed

Hourly Pay Range: $19.10 - $27.69 This pay rate/range represents ChristianaCare's good faith and reasonable estimate of compensation at the time of posting. The actual salary within this range offered to a successful candidate will depend on individual factors including without limitation skills, relevant experience, and qualifications as they relate to specific job requirements.
