Job Title: Program Coordinator Job Location: Chantilly, VA Position Overview:

The Program Coordinator provides administrative, scheduling, and project management support across all four workstreams, ensuring that deliverable timelines are tracked, meetings are coordinated, and status reporting is current. This role is critical to freeing the Key Personnel from administrative burden so they can focus on strategic and client-facing activities.

Key Responsibilities:
  • Maintain the master deliverable tracker, monitoring all SSOW deliverable due dates and flagging upcoming deadlines and schedule risks to the Change Management Lead in advance.
  • Prepare weekly status report drafts for Change Management Lead review, consolidating workstream inputs and populating the executive summary.
  • Maintain and update the risk and issue log weekly; support mitigation strategy documentation and action item tracking.
  • Coordinate scheduling of all project meetings, information sessions, training sessions, stakeholder workshops, and quarterly reviews; manage calendar logistics across Board and Contractor teams.
  • Manage training registration, participant communications, and pre-training preparation logistics.
  • Maintain document version control and file organization in the documentation repository.
  • Process travel logistics and expense documentation in accordance with Board Travel Policy.
  • Prepare and distribute meeting agendas and minutes; track all action items to closure.
Required Qualifications:
  • Minimum of 3 years of experience in project coordination or program management support roles.
  • Demonstrated ability to manage competing deliverable deadlines in a fast-paced consulting environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, SharePoint, or equivalent).
  • Strong written and verbal communication skills; experience preparing executive status summaries.
  • Experience with document management and version control processes.
Preferred Qualifications:
  • Experience supporting government contracts or task order engagements.
  • PMP or CAPM certification preferred.
  • Familiarity with change management or organizational transformation programs.
