Position Highlights The Office of the Registrar is recruiting an entry-level professional to join our Room & Course Scheduling Team. This position plays an important role in delivering excellent service to students, faculty, staff, and the public, while supporting the accuracy, integrity, and compliance of the academic record.

The Academic Records Specialist contributes to the scheduling and coordination of academic courses and events, supports centrally scheduled classrooms, and assists with daily operations and customer service within the office.

The Office of the Registrar is responsible for the accuracy and integrity of the academic record. Serving all students, faculty, academic units, and student support functions; the Office is charged with the implementation of academic and student policies and their alignment to state and federal regulations and accreditation standards. The Office strives to be a leader and thought partner in creating efficient processes that are designed in a way that supports student success and service excellence.

This position will allow for flexible/hybrid work arrangements. Some duties can be performed remotely, but others will require an in-person presence on the Tucson, Arizona campus. This position will also include Core Business Hours and Summer Remote Period.

Duties & Responsibilities

1. Following established policy, process Schedule of Classes and Event Request forms in different software systems (Ad Astra, PeopleSoft/UAccess, and Trellis).

Assist in customer service support of the
Centrally Scheduled Classrooms (ensuring properly configured layout and
addressing furniture, cleanliness, heating & cooling issues, etc.).

Assist in resolving issues and answering
questions sent to the office through a variety of methods.

Assist in processing event requests and
invoicing for events.

2. Run various reports and make data entry corrections as necessary to ensure the Schedule of Classes is accurate and compliant.

3. Answer phone calls and chats and assist student workers with answering questions as needed.

Assist in training student workers.

4. Assist in creating and updating technical and non-technical documentation for internal and external purposes.

Use knowledge of University of Arizona and
Office of the Registrar websites and policies to support students, faculty,
staff, and the public.

Use and update department Business Process
Guides.

5. Communicate and partner with department schedulers to identify corrections needed in the Schedule of Classes to align with compliance standards.

Assist in training academic departments in
the creation of the Schedule of Classes.
