Job Summary

Provide mail processing and courier services for all City departments.

Essential Responsibilities

  • Major contact for all mail related questions. Interprets and applies all United States Postal Service regulations
  • Retrieve, sort and distribute all incoming mail; assist departments in preparing business reply mailings and UPS shipments, certified mailings, and special handling USPS packages.
  • Provide courier services for document recording, delivery of City Council materials and other items as assigned by supervisor.
  • Distribute freight shipments and newspapers.
  • Maintain and balance records of postage accounts, order mailroom supplies and prepares statistical reports.
  • Maintain and balance mailroom credit card account, process bills from contract mailing services.
  • Inventory paper supplies and provide purchasing with order quantities.
  • Maintain paper supplies at all City photocopiers and offsite locations from inventories.
  • Maintain supply of envelopes, letterhead, requisitions, and other forms.
  • Fuel and schedule maintenance of Mail Services vehicle.
  • Maintains mail services procedures.
  • Deliver to off-site locations: Fire Stations, North Kirkland Community Center, Municipal Court, Maintenance Center, Rose Hill Water District Building and 505 Market Street.
  • Prepare and manage mail center budget.

Peripheral Responsibilities
  • Schedule maintenance on mailroom equipment.
  • Prepare bills for payment.
  • With USPS employees, access information via Web, and interpret United States Postal Publications and requirements for various types of mailings.
  • Other Special Projects as assigned.

Knowledge, Skills and Abilities

  • Ability to read and interpret addresses sufficiently to accurately sort and distribute materials.
  • Ability to maintain records of postage accounts.
  • Ability to anticipate needs of others and communicate in a courteous manner with City staff and the public.
  • Basic computer literacy and experience using a personal computer (Word, Excel, e-mail and Internet preferred).
  • Ability to work with a variety of people and manage multiple tasks.
  • Ability to read and understand procedures. Must be able to provide instructions and directions to individuals.
  • Ability to communicate effectively, both orally and in written form.
  • Ability to work independently and maintain confidentiality of materials handled.
  • Ability to read maps to determine address locations and driving directions.

Qualifications

Minimum Qualifications

  • Ability to safely operate a van or passenger vehicle.
  • Must possess a valid Washington State driver's license.
  • Prior experience with mail handling preferred.

Working Conditions

  • Ability to move items weighing up to 50 pounds on a daily basis (i.e., boxes of mail, boxes of paper, and odd-sized packages).
  • Ability to fuel vehicles.
  • Ability to stand for long periods of time and climb stairs regularly.
